Overview
We are seeking a dedicated and detail-oriented Medical Receptionist/Assistant to join our healthcare team. The ideal candidate will possess strong administrative skills, excellent patient service abilities, and a comprehensive understanding of medical office operations. This role is vital in ensuring smooth clinic workflows, maintaining accurate medical records, and providing exceptional support to healthcare providers and patients alike. The successful applicant will demonstrate proficiency in electronic health record (EHR) systems, medical billing, and insurance processes, all while upholding strict confidentiality policies and delivering outstanding customer service.
Duties
- Greet and check in patients in a professional, friendly, and courteous manner
- Answer incoming phone calls and direct them to the appropriate department or staff member
- Schedule appointments and manage the provider's appointment calendar
- Verify patient insurance information and collect co-pays or other payments
- Maintain accurate patient records and update information as needed
- Assist with administrative tasks such as filing, faxing, scanning, and processing paperwork
- Prepare patients for examinations by obtaining vital signs, medical histories, and documenting information in the electronic medical record (EMR)
- Assist providers during patient examinations and procedures as needed
- Perform clinical tasks within scope of practice, including the collection of laboratory specimens (as applicable)
- Clean, stock, and prepare exam rooms and ensure adequate medical supplies are available
- Provide excellent customer service to patients and visitors
- Ensure the reception and waiting areas remain clean, organized, and welcoming
- Maintain patient confidentiality and comply with HIPAA and office policies
- Perform other administrative and clinical duties as assigned
Experience
- Proven experience working in a medical office environment or clinic setting with a focus on administrative support.
- Familiarity with EMR/EHR systems such as eClinicalWorks is highly preferred.
- Strong understanding of medical terminology, CPT coding, ICD-9/10 coding standards, and documentation review practices.
- Experience handling health information management tasks while maintaining strict adherence to HIPAA guidelines.
- Demonstrated competence in office management tasks such as scheduling, patient service delivery, and clerical organization.
- Excellent computer skills across various platforms including Microsoft Office Suite; proficiency in electronic health record management is essential.
- Prior clinic experience that includes front desk responsibilities or medical receptionist duties is highly desirable for this role.
