Position Summary
We are seeking a Bilingual (English/Spanish) Receptionist/Intake Specialist to join our team at Matthew Lopez Law, PLLC. This role is critical to the firm’s success, serving as the first point of contact for potential clients and guiding them through the intake process. The ideal candidate is confident on the phone, highly organized, and skilled at building trust quickly while gathering key case information.
Responsibilities
- Serve as the first point of contact for all incoming leads (phone, web, and walk-ins), delivering a professional and empathetic client experience.
- Conduct detailed client intakes, gathering and documenting essential case information accurately.
- Effectively communicate the firm’s services and value to potential clients, helping convert leads into retained cases.
- Schedule consultations and manage attorney calendars to maximize efficiency and availability.
- Follow up with potential clients via phone, text, and email to ensure consistent communication and increased conversion rates.
- Maintain accurate and organized records in the firm’s CRM or case management system.
- Coordinate with attorneys and staff to ensure smooth onboarding of new clients.
- Provide bilingual support to ensure clear communication with Spanish-speaking clients.
Requirements
- Bilingual proficiency (English/Spanish) is required.
- Prior experience in intake, sales, customer service, or call center environments is strongly preferred.
- Strong communication and interpersonal skills, with the ability to build rapport quickly.
- Comfortable handling high call volume and working in a fast-paced environment.
- Detail-oriented with excellent organizational and data entry skills.
- Proficiency in Microsoft Office and case management or CRM software.
- Self-motivated with a results-driven mindset and strong follow-up habits.
