About the Role
Fidelity Venture Management (FVM) is a hands-on commercial real estate and property management company based in Sugar Land, TX, managing a growing portfolio of retail and commercial properties across Texas. We're looking for a full-time, in-person Administrative & Property Operations Assistant to be the organizational backbone of our office and a first point of contact for our tenants, vendors, and prospects.
This is a front-desk role at the center of our day-to-day operations. You'll keep our properties running smoothly behind the scenes — answering calls and emails, tracking rent and invoices, chasing insurance certificates and paperwork, coordinating repairs and inspections, and preparing leases and notices for management review. It's an ideal fit for someone who is highly organized, detail-oriented, and dependable, is comfortable on the phone, and takes pride in being the person who keeps everything on track.
You'll be fully trained on our systems and work closely with the Property Manager, with real opportunity to grow as the portfolio expands.
Location: In person at 12440 Emily Ct, Ste 401, Sugar Land, TX 77478 (no remote) · Schedule: Mon–Fri, 10:00 AM–5:00 PM (~35 hrs/week)
Key Responsibilities
- Answer inbound calls and place outbound calls to tenants, vendors, and prospects in a professional, courteous manner
- Serve as front-desk reception — greet visitors, manage the door, and keep the office organized and running
- Communicate by email with tenants, vendors, prospective tenants, and other third parties, and follow up through to resolution
- Track rent payments, invoices, and tenant records in Rent Manager, with accurate data entry and filing
- Request, follow up on, and organize Certificates of Insurance (COIs) and other required tenant and vendor documentation
- Schedule and coordinate repairs, maintenance, and property inspections with contractors and vendors
- Draft leases, letters of intent (LOIs), and formal notices for management review
- Support marketing and lead-generation activities, including listings on Crexi, LoopNet, and CoStar, and outreach tracked in HubSpot CRM
- Maintain organized digital and physical files and keep operational trackers current
- Handle general office housekeeping and upkeep, plus other administrative duties as assigned

What We're Looking For
- Prior experience in administration, reception, customer service, or property management (commercial real estate a plus)
- Highly organized and detail-oriented, with a proven system for juggling many small tasks and deadlines at once
- Professional, warm, and confident on the phone — comfortable handling tenant and vendor calls, including frustrated or confused callers
- Strong written communication; able to draft clear, polite, and professional emails and follow-ups
- Proficient in Microsoft Office and a quick, self-directed learner of new software (Rent Manager, HubSpot, Crexi, LoopNet, and CoStar — full training provided)
- Dependable and punctual, with reliable transportation and the ability to work fully on-site in Sugar Land
- Able to work independently, take ownership, and follow through to resolution
- Bilingual (English/Spanish) is a plus, but not required
- Associate's or bachelor's degree preferred
- Must be authorized to work in the United States (Form I-9) and able to pass reference and background checks
What We Offer
- Pay: $20.00 per hour (full-time, W-2, non-exempt)
- Schedule: Monday–Friday, 10:00 AM–5:00 PM (~35 hours/week), with a paid 30-minute meal break — a consistent, predictable schedule with no nights or weekends
- Paid holidays (after the introductory period): New Year's Day, Independence Day, Thanksgiving Day, and Christmas Day
- Paid time off: 5 paid days beginning 6 months after your start date, increasing to 10 paid days per year at 18 months
- Training & growth: Hands-on training on all of our systems, close mentorship from the Property Manager, and room to take on more responsibility as our portfolio grows
