- Handle incoming correspondence, including emails, mail, and deliveries, with attention to detail and confidentiality
- Maintain organized filing systems, data entry records, and office documentation using productivity software such as Microsoft Office and Google Workspace
- Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently
- Support office management tasks including inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software
- Provide exceptional customer service by responding to inquiries promptly and supporting clients or patients in person or over the phone
Qualifications
- Proven office management or administrative experience with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience with multi-line phone systems and phone etiquette in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks and manage time efficiently in a fast-paced environment
- Familiarity with bookkeeping software such as QuickBooks is preferred for handling basic financial records
- Previous experience as a front desk or medical/dental receptionist is advantageous but not required
- Demonstrated customer service skills with a friendly demeanor and professional communication style
