Responsibilities
- Direct and maintain the preparation of accounts payable, accounts receivable (quickbooks experience is a plus)
- Make expendable material purchases as required and provide receiving of materials either directly or through subordinates (maintain components inventory as required)
- Prepare weekly timekeeping and verify time reports to ensure accuracy and data to be provided to ADP payroll services
- Assist in the preparation for estimates, cost reports, etc.
- Prepare daily, weekly, monthly, quarterly, and annual closing statements, reports and invoices
- Responsible for new employee sign ups, basic personnel administration activities and general administration
- Responsible for monitoring subcontractor cost and issuance of back charges
- Perform additional assignments per supervisor’s direction
- Administer company policies and procedures
Qualifications
High education or equivalent (some college is a plus)
Bilingual (Spanish and English Is a plus )
Physical ability to handle and lift materials up to 25 pounds in weight
Proven customer service experience
Experience:
- 5+ years in office administration and assistance to top management
Knowledge, Skills and Abilities:
- Working knowledge of project accounting as well as administration procedures and techniques.
- Proficient in Microsoft Word, Excel, Access and Outlook.
- Excellent communication skills when interacting with all levels of the organization.
- Strong organization skills; ability to manage multiple priorities in a fast pace work environment.
- Ability to communicate in Spanish is preferred
