Bookkeeper (Part-Time) – Sistrum Chorus

Position Overview
This is a part-time, ongoing role responsible for maintaining accurate financial records, preparing monthly reports, and supporting annual financial and tax processes. The Bookkeeper works closely with the Treasurer, Finance Committee, and Board of Directors.
Key Responsibilities
Monthly
- Receive and organize deposit details (date, totals, revenue categories such as fees and pledges)
- Collect and review check copies and supporting vouchers
- Download account statements (MSU account, PayPal, GiveButter, Edward Jones)
- Record all financial activity in QuickBooks using journal entries
Prepare and share monthly financial reports, including:
- Statement of Financial Position
- Statement of Activity (current month and year-to-date, with budget comparison)
- Statement of Activity by Fund (class)
- Statement of Activity with prior year comparison
- Upload reports and supporting documentation to Google Drive for Board access
- Scan and archive check and voucher documentation
Annually
- Collect W-9 forms from vendors who paid $600 or more
- Prepare and file 1099 forms by January 31
- File Michigan Sales, Use, and Withholding Tax Return by February 28 (includes calculating sales tax for chorus events)
- Coordinate with CPA for annual 990 filing (due May 1)
- Support the Finance Committee and Board in preparing the annual budget
Qualifications
- Experience with bookkeeping and financial reporting (organizational / nonprofit experience a plus)
- Proficiency in QuickBooks
- Strong attention to detail and organization
- Ability to manage recurring monthly tasks and deadlines independently
- Comfortable working with Google Drive and digital file organization
- Clear communication and willingness to collaborate with a volunteer-led team
Time Commitment & Compensation
- Estimated hours: ~5–10 hours per month (varies seasonally)
- Additional time required during annual reporting periods (January–May)
- Compensation: $25/hour
