Cordoba Corporation is a leading engineering and program management firm based in California. We are seeking an Administrative Assistant to join our Energy-Gas sector to support Gas Utilities projects and teams. The Administrative Assistant is responsible for supporting daily office operations by coordinating schedules, managing correspondence, maintaining records, and ensuring efficient workflow across the organization. This role provides critical support to leadership and staff through report preparation, document control, meeting coordination, and tracking key deadlines and action items. The position requires excellent organizational and communication skills to manage priorities, maintain procedural consistency, and respond effectively to administrative needs and inquiries.

Coordinate day-to-day administrative operations, including scheduling, correspondence, document preparation, and maintaining organized records to ensure efficient office workflow.

Support leadership and departmental staff by preparing documents, tracking deadlines, and assisting with project coordination to ensure tasks are completed accurately and on schedule.

Track, coordinate, and maintain changes to forms and reports.

Create meeting agendas, arrange meeting facilities, and document meeting minutes and/or action items.

Maintain procedures manual to ensure consistent performance of routines.

Compose correspondence and prepare reports as needed.

Organize essential mail in priority action order.

Arrange, order and retain relevant files and supplies.
- Study and review company and department procedures.
- Participate in any administrative meetings and take initiative on requests and inquiries of administrative nature as needed.

3 years of administrative support experience required

Some completed college coursework preferred

Excellent interpersonal and customer service skills and demonstrated ability to work with employees at all levels

Ability to multi-task in a fast-paced business environment and work with minimal supervision

Exceptional organizational skills, record-keeping, and attention-to-detail

Proficiency using the MS Office Suite including Word, Excel, Outlook and Teams
Pay Range: $25.00 - $30.00 per hour
Work Location: Onsite 5 days per week in Santa Clarita, CA
Visa Sponsorship: Legal authorization to work in the U.S.A. on a full-time basis without sponsorship
Physical Requirements: Ability to pass a pre-authorized physical including a drug-screening and background check
