This isn't a traditional administrative assistant position where you'll spend your day answering phones and filing paperwork. You'll work directly with our President, Estimators, Project Managers, Division Leaders, and Construction Administrator to help keep projects moving, proposals organized, and our office operating efficiently. Every day is different, and no two projects are the same.

What You'll Do
You'll support multiple departments throughout the company, including Construction, Plumbing, Electrical, and Estimating.
Responsibilities include:
- Package and assemble proposals for submission to General Contractors.
- Support our estimating team by organizing bid documents and proposal packages.
- Assist Project Managers with RFIs, submittals, change orders, closeout documents, and project documentation.
- Maintain organized digital job files and ensure project documentation is complete and accurate.
- Help coordinate communication between project managers, estimators, field personnel, subcontractors, and customers.
- Assist with job setup, scheduling updates, and project tracking.
- Prepare reports, meeting materials, and follow-up action items for leadership meetings.
- Support office operations by helping wherever needed to keep projects moving forward.
- Identify missing information, follow up with team members, and proactively solve problems before they become issues.
What We're Looking For
- Construction office experience preferred.
- Experience with commercial construction terminology.
- Highly organized with exceptional attention to detail.
- Strong written and verbal communication skills.
- Comfortable working in Microsoft Office (Excel, Outlook, Word).
- Experience with Bluebeam, Procore, Jonas Premier, or similar construction software is a plus.
- Ability to manage multiple priorities in a fast-paced environment.
- Self-motivated with a strong sense of ownership and accountability.
- Someone who enjoys helping others and isn't afraid to jump in wherever needed.
