Claims Assistant with CRM Experience

About the Role
We are seeking a highly organized and detail-oriented Claims Assistant with CRM Experience to support our growing restoration team. This position plays a critical role in coordinating insurance claims, maintaining accurate CRM records, and ensuring projects move efficiently from first notice of loss through completion.
The ideal candidate is proactive, organized, and comfortable working in a fast-paced environment where urgency, communication, and attention to detail are essential.
Responsibilities
- Assist with the intake and processing of property damage insurance claims.
- Maintain accurate customer, claim, and project information within the CRM system.
- Communicate with homeowners, insurance carriers, adjusters, project managers, and vendors regarding claim status and required documentation.
- Schedule inspections, mitigation services, site visits, and follow-up appointments.
- Track claim progression and project milestones from intake through completion.
- Upload and organize photographs, estimates, invoices, authorizations, and supporting claim documentation.
- Create and manage follow-up tasks to ensure timely progression of claims and restoration projects.
- Maintain detailed notes and communication logs within the CRM platform.
- Assist with collections and outstanding receivables related to completed projects.
- Prepare claim summaries, reports, and status updates for management.
- Support project managers and estimators with administrative and operational tasks.
Qualifications
- Previous experience in restoration, insurance claims, construction administration, or property damage services preferred.
- Experience using CRM systems is required.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office and Google Workspace.
- Ability to prioritize tasks and work effectively in a fast-paced environment.
- Experience with restoration software or claims management systems is a plus.
- Familiarity with water, fire, mold, storm, and reconstruction losses is preferred.
