Overview
We are seeking an experienced Legal Secretary / Paralegal to support a senior partner with more than 35 years of experience in commercial litigation, transactional law, and real estate development while also assisting one or two additional attorneys as needed. This is a unique hybrid role for a highly organized, detail-oriented professional who thrives in a fast-paced legal environment and can provide both high-level administrative support, substantive legal assistance and can balance competing priorities. This partner represents clients in complex commercial matters, including sophisticated real estate transactions, financing, redevelopment projects, and land use matters across New Jersey. This role is critical in maintaining the efficiency, responsiveness, and high standard of service that clients expect, while also contributing to the broader support needs of the legal team.
Key Responsibilities
Senior Legal Secretary Functions:
- Manage attorney calendar, scheduling, and deadlines
- Prepare, format, and proofread correspondence, pleadings, and transactional documents
- Handle client communications professionally and confidentially
- Maintain and organize physical and electronic files
- Coordinate meetings, closings, and court filings (including e-filing where applicable)
- Track billing, time entry, and assist with invoicing
Senior Legal Secretary Responsibilities:
- Assist with preparation and review of real estate and transactional documents (contracts, closing binders, financing documents)
- Support commercial litigation matters, including document organization and discovery coordination
- Conduct basic legal and factual research
- Prepare materials for hearings, closings, and client meetings
- Coordinate with municipalities, agencies, and third parties on land use and redevelopment matters
Qualifications
- 3 to 5+ years of experience as a legal secretary, preferably with some paralegal responsibilities
- Strong background in real estate law, commercial transactions, or litigation
- Exceptional organizational and time management skills
- High attention to detail and accuracy
- Ability to manage multiple priorities and work independently
- Proficiency in Power Point, Microsoft Office (Word, Outlook, Excel) and legal billing systems
- Experience with New Jersey court filings and real estate processes is strongly preferred
- Excellent written and verbal communication skills
- Knowledge of Juris Suites and/or iManage system are a plus
Ideal Candidate
Comfortable working with a senior attorney handling complex, high-value matter. Candidate who possess strong traditional legal secretarial skills with experience supporting senior attorneys in a New Jersey law firm. Candidates should have experience preparing and formatting corporate and commercial real estate transaction documents, coordinating large real estate closings, managing attorney calendars and deadlines, and handling New Jersey court filings and pleadings.
This position is best suited for an experienced legal secretary/legal assistant who is detail-oriented, proactive, and comfortable working independently in a fast-paced practice. Able to anticipate needs and take initiative with professional demeanor and strong client service skills
Pay: $60,000.00 - $80,000.00 per year
