Job Overview
We are seeking a proactive and detail-oriented Operations Manager Assistant.
In this vital support role, you will assist with daily office operations, coordinate administrative tasks, and ensure smooth communication across our teams.
Duties
- Oversee a range of operational and financial responsibilities that require maintaining standards & accuracy.
- Serve as our first line of client contact — providing reception, intake, and initial support for incoming requests.
- Manage all purchasing, ensuring technological requirements of products are met while coordinating product sourcing, freight, and project timelines.
- Handle inventory, shipping and receiving.
- Manage physical office space for equipment storage, equipment preparation for delivery, and equipment returns.
- Work with Service Manager & Sales Manager to coordinate product shipping & delivery of client orders to maintain timely invoicing.
- Conduct general bookkeeping - manage accounts payable, manage accounts receivable, reconcile 2 credit card accounts, and assist with annual financial processes such as write-offs, collections, and contract renewals
- Manage automated client invoicing to retain or improve efficiency and shorten both the sales & payment cycles.
- Prepare & present weekly report on open sales estimates to maintain up-to-date sales cycle.
Requirements
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Computer literacy with the ability to adapt quickly to new software applications.
- Prior experience with bookkeeping software like QuickBooks is preferred.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Strong phone communication skills coupled with professional phone etiquette.
- Demonstrated ability to handle confidential information responsibly while managing multiple priorities efficiently.
- Strong typing speed, proofreading skills, and attention to detail in all tasks.
- Experience in customer service or client communication roles is advantageous.
- Ability to manage time effectively in a fast-paced environment while supporting multiple team members or departments.
- Ability to drive for work (short distance).
