Job description
We are looking for a self-motivated Preschool Admin Assistant to work with our teachers and help the front office at our school.
This position will involve training for front desk duties such as answering phones, giving tours, and closing.
Work Location: In person
Duties:
- Filling in classrooms as a sub if a teacher is out.
- Help with the Lunch serving in the school
- Organizing the supply closets
- Perform a wide range of administrative and office support activities for the department or managers and supervisors to facilitate the efficient operation of the organization.
- Answer, screen, and transfer inbound phone calls.
- Tour the school and follow ups
- help with social media and school wide events
- Receive and direct visitors and clients.
- General clerical duties including photocopying, faxing, and mailing.
- Maintain electronic and hard copy filing system.
- Retrieve documents from filing system.
- Handle requests for information and data.
- Resolve administrative problems and inquiries.
- Prepare written responses to routine inquiries.
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
- Schedule and coordinate meetings and appointments, for managers or supervisors.
- Prepare agendas for meetings and prepare schedules.
- Record, compile, transcribe, and distribute minutes of meetings.
- Open, sort, and distribute incoming correspondence.
- Maintain office supply inventories.
- Requirements and Skills:
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Attention to detail and problem-solving skills.
- Proficient in MS Office (Word, Excel, Outlook).
- Ability to work independently with minimal supervision.
- Ability to maintain confidentiality of sensitive information.
- Strong time management skills with the ability to multitask.
- Strong planning and organizational skills.
- Excellent analytical and problem-solving abilities.
- Patience and resilience.
- Great conflict resolution skills.
- A valid driver’s license.
Job Type: Part Time
Pay: $14- $16 per hour
Schedule:
- Day shift
- Monday to Friday
- No weekends
