Job Overview
This is the role if you love owning something end-to-end — from recommending which industry conferences and trade shows are actually worth our companies time and budget, to making sure the booth looks incredible and the data backs up why it was worth it. You'll lead the strategy conversations, dig into the performance data to figure out where we should show up next, and be the go-to person for every event and sponsorship relationship we've got. Our sales team runs the show on-site, but you're the reason they walk in ready — booth dialed in, swag stocked, and a clear game plan in hand. You'll report directly to our Director of Marketing.
In This Role, You Will:
Experiential Strategy & Budget Ownership
- Own experiential strategy — research, evaluate, and recommend which conferences, trade shows, and events we sponsor or attend, weighing audience fit, competitive presence, expected ROI, and Sales leadership input
- Manage the experiential marketing budget: allocate spend across events, negotiate sponsorship packages, and make the trade-off calls that maximize return
- Turn event and activation data (MQLs, funnel conversion, event ROI) into regular performance readouts that connect investment to pipeline impact
- Lead bi-weekly experiential strategy meetings — set the agenda, drive decisions on event priorities, and align marketing, sales, and creative
- Push our presence forward: propose new booth layouts, interactive experiences, and sponsorship formats grounded in what the data says drives engagement
- Travel to a handful of key events each year to see activations firsthand and bring back what's working
Event Logistics & Coordination
- Serve as the main point of contact for every event and conference relationship, owning sponsorship deliverables and the experiential marketing calendar
- Track and reconcile monthly conference and event expenses to keep the budget accurate
- Own and evolve the Experiential Marketing SOP so the program scales without losing quality
- Pack, ship, and manage the full lifecycle of booth materials and swag — before, during, and after every event
- Brief marketing consultants ahead of each event on logistics, agenda, and goals, and make sure experiential MQLs land correctly in HubSpot
- Coordinate logistics for marketing-led webinars alongside content, creative, sales, and outside presenters
Swag, Inventory & Event Support
- Source new swag and branded merchandise with the creative team, and keep inventory organized and accurate
- Research and pilot new interactive booth experiences and engagement tools to drive foot traffic and lead capture
- Run internal and external corporate gifting and “Surprise & Delight” moments
- Own the Masterclass sponsorship prospectus end-to-end — outreach, main point of contact, and on-site support at the annual event
- Support planning and execution for Customer and Partner Advisory Board meetings
We're Looking for Someone Who:
- Has 4+ years in event planning, experiential marketing, or a related field — and has actually shaped event strategy, not just executed logistics
- Can look at MQLs, funnel conversion, and event ROI and turn them into a clear, actionable recommendation, not just a report
- Has owned a budget and made real trade-off calls across competing priorities
- Juggles multiple concurrent initiatives without letting details slip
- Runs a good meeting — comfortable leading cross-functional conversations and driving alignment across marketing, sales, and creative
- Holds a bachelor's degree in Marketing, Business, Hospitality, or a related field
- Bonus: has experience in financial services or B2B marketing
Approach to the Role:
- Treats “we've never done this before” as an invitation, not an excuse
- Owns outcomes and acts like their name is on the booth
- Works through roadblocks, not around them, and assumes positive intent when priorities shift
- Thinks in systems — SOPs, inventory, calendars — so nothing falls through the cracks between events
- Talks it out instead of typing it out when something needs to move fast
What We Care About
Our core values:
- Obsession with delivering value to our customers
- Mutual respect and care for each team member
- Strive for highest integrity, transparency, and accountability
- Adaptability: be open to innovation and positive change
Our operating principles:
- Do the right thing — even when it's the harder call
- Be proactive, not reactive — get ahead of it before it lands on someone else's desk
- Over-deliver — give people more than they expected
- Talk it out, don't type it out — a quick conversation beats a long thread
- See it through — the job isn't done until the whole thing is done, not just your piece
- Keep evolving — what worked yesterday might not work tomorrow
- Assume positive intent — give people the benefit of the doubt
- Keep it simple — complexity is the enemy of good execution
- Focus on what's right, not who's right
- Win as a team — we rise and fall together
