Daniela Trucking and Grading is growing — and we need someone who can bring order to a fast-moving operation.
As our Office Manager you own the daily administrative control center: customer orders, deliveries, invoices, job documentation, employee records, vendors, and owner priorities. This isn't a job for someone who needs to be told what to do. It's a job for someone who sees what's incomplete and moves it forward without being asked.
We operate across trucking and grading, aggregate sales, two retail yards, and we're actively expanding into a contractor company and potential landscape acquisition. You'll help build the administrative foundation that holds all of it together.
What You'll Own
- Daily Office Operations — Manage shared inboxes, calendars, files, and records. Route calls, emails, and requests. Track open items until they're closed, not just acknowledged.
- Customer & Order Coordination — Capture job details, coordinate with dispatch and field teams, keep HubSpot current, and communicate changes before they become customer surprises.
- Billing & Receivables — Prepare and send invoices, track open accounts, provide weekly receivables updates, and maintain organized records for QuickBooks.
- Retail Yard Administration — Maintain accurate product, pricing, and order information across both yard locations. Document sales, deliveries, and outstanding balances.
- Field & Driver Support — Confirm delivery details before dispatch, organize tickets and signed delivery documents, coordinate schedule changes.
- Employee & Vendor Records — Maintain employee files, onboarding records, certifications, vendor accounts, and subcontractor documentation.
- Process Building — Create repeatable systems that work across multiple companies and locations as we grow.

What You Bring
Required:
- Experience in office administration in construction, trucking, aggregate, landscaping, distribution, logistics, or a related industry
- Strong organization and follow-through — you close the loop
- Comfort working with invoices, delivery tickets, customer accounts, and financial documents
- Clear written and verbal communication
- Ability to prioritize changing demands without losing control of details
- Strong computer skills and confidence learning new business systems
- Professional judgment with confidential information
Preferred:
- Experience with QuickBooks
- Experience with HubSpot or another CRM
- Experience with LMN or construction/trucking/dispatch software
- Familiarity with aggregate materials, grading, drainage, or material delivery
- Experience supporting multiple locations or companies
- Bilingual (English/Spanish) — an asset, not a requirement
