PARISH AND SCHOOL BUSINESS MANAGER
JOB DESCRIPTION
Presentation BVM Church and School, is looking to hire a part-time Business Manager who is responsible for the efficient operation of the parish and school business affairs, including accounting, reporting, budgeting, personnel and physical plant protection.
WORKING HOURS: 25 hours per week

REPORTS TO: Pastor and School Principal
GENERAL DUTIES/RESPONSIBILITIES:
Responsibilities include but are not limited to:
- Record and manage all financial activity in QuickBooks Desktop.
- Prepare deposits and transport them to the Bank. Provide Pastor with a copy of the deposit receipt.
- Manage all accounts payable vendors and Archdiocesan billings.
- Report and monitor bi-weekly payroll through outside payroll service.
- Prepare 1099s for contracted employees and substitute teachers annually.
- Oversee and reconcile all parish and school bank accounts.
- Ensure timely remittal of diocesan and extra-diocesan collections.
- Reconcile contributions recorded in Parish Data Systems to QuickBooks.
- Prepare year-end contribution statements.
- Reconcile and replenish petty cash as needed.
- Prepare reports for and attend school’s monthly Strategic Planning Assistance Team meetings; prepare Pastor for these meetings.
- Assist school families with the completion of their annual financial aid applications.
- Track, post and reconcile school financial aid and complete required reports for the various scholarship organizations.
- Update and share tuition delinquency report with School Principal and Chief Tuition Officer daily. Provide report to Pastor monthly.
- Prepare workpapers and provide requested documentation for periodic audits.
- Attend all Archdiocesan Business Manager’s meetings.
- Prepare yearly Archdiocesan Parish Financial Report; review with Parish Finance Council.
- Prepare and monitor annual budget for both parish and school in the format required by the Archdiocese of Philadelphia. Review with the Pastor, School Principal and Parish Finance Council.
- Prepare year-to-date budget versus actual variance analysis monthly.
- Prepare advance packet for Parish Finance Council and attend all Parish Finance Council meetings.
- Correspond as needed between meetings with Parish Finance Council members and Archdiocesan offices.
- Prepare and maintain all personnel records, including onboarding of new employees.
- Update and maintain personnel benefits changes and enrollments.
- Inform Pastor of changes in church and school personnel.
- File all paperwork related to unemployment compensation, employee separation, worker’s compensation, PA Catholic Conference, etc.
- Prepare rental agreements for Church Hall and obtain insurance certificates as needed.
- Communicate and train all personnel to ensure implementation of risk management practices.
- Monitor compliance with Archdiocesan policies regarding contracts and insurance requirements.
- Develop and implement internal controls and ensure compliance with Archdiocesan requirements.
- Serve as the point person for all questions relating to parish and school funds.
- Any additional duties/projects as required by and in support of the Pastor’s and School Principal’s responsibilities to the parish, school and Archdiocese.
SKILLS, QUALIFICATIONS AND REQUIREMENTS:
- Bachelor’s Degree in Accounting or appropriate field.
- 5-7 years’ experience in business or accounting.
- Proficient in Microsoft Office and QuickBooks Desktop; experience with Parish Data Systems, FACTS (Payment Plans, Financial Aid and SIS) and UKG Payroll a plus.
- Excellent communicator with strong organization skills and attention to detail.
- Energetic, creative and hands-on, with a collaborative attitude and ability to multi-task with ease.
- Ability to relate effectively and positively with colleagues, volunteers, parishioners, school families and vendors.
- High level of integrity and confidentiality.
- Strong commitment to the Catholic faith and the mission of the parish and school.
- Perceive characteristic of objects through the eyes; express or exchange ideas by means of the spoken word; perceive the nature of sounds by the ear; sit for prolonged periods of time; frequent walking and /or standing; able to lift, carry, push or pull 35 lbs. maximum with frequent lifting and/or carrying of 20 lbs.
