Position Summary
The Receptionist serves as the first point of contact for residents, families, visitors, vendors, and staff in a skilled nursing facility. This position is responsible for providing professional customer service, managing front desk operations, answering phones, directing inquiries, and supporting administrative functions while maintaining confidentiality and compliance with Florida healthcare regulations and HIPAA standards.
Essential Duties and Responsibilities
Greet and assist residents, visitors, families, vendors, and staff in a courteous and professional manner
Answer, screen, and route incoming phone calls promptly
Maintain visitor sign-in procedures and facility security protocols
Provide information regarding facility services, visiting hours, and resident locations
Receive and distribute mail, packages, and deliveries
Assist with clerical tasks including filing, copying, scanning, and data entry
Maintain resident and staff directories and communication logs
Schedule appointments and coordinate meetings as directed
Monitor lobby and waiting areas to ensure cleanliness and safety
Handle confidential information in compliance with HIPAA regulations
Support admissions, nursing, social services, and administrative departments as needed
Respond appropriately to emergencies following facility procedures
Operate standard office equipment including multi-line phone systems, computers, printers, and fax machines
Maintain professionalism and compassion when interacting with elderly residents and families
Education & Experience
High school diploma or GED required
Previous receptionist, customer service, or healthcare office experience preferred
Experience in long-term care, rehabilitation, assisted living, or skilled nursing preferred
