We are looking for a good-natured, motivated, detailed, and organized Legal Administrator to join our small but passionate team.
Job Overview
As a Legal Administrator, you will be responsible for supporting our attorneys in managing client cases, preparing legal documents, maintaining case files, and ensuring smooth day-to-day operations of the office. This will include overseeing another support staff member’s work and taking on projects as assigned. Primary Responsibilities
- Draft and proofread legal documents, including legal correspondence, motions and briefs.
- Maintain and organize client files, both physical and electronic, ensuring they are up-to-date and compliant with legal requirements.
- Assist attorneys in preparing for hearings, depositions, and trials, including organizing exhibits and other materials.
- Handle client communications, responding to inquiries, and managing client records.
- Be proficient at administrative agency and court filing systems and able to timely meet deadlines.
- Provide administrative support for billing and invoicing, ensuring accurate records of billable hours and expenses.
- Manage office supplies, equipment, and general office maintenance.
- Assist with administrative duties such as answering phones.
- Supervise the work of other legal support staff.
- Handle unique projects as assigned.
- Ensure confidentiality of sensitive legal and client information.
Qualifications
- Bachelor’s degree.
- At least 3 or more years of experience in a legal administrative role, preferably some experience with a labor or employment law firm.
- Strong organizational and time-management skills with the ability to manage multiple tasks effectively.
- Excellent written and verbal communication skills.
- Ability to take feedback and be adaptable to changing workload and tasks.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, and court legal filing programs.
- Ability to work independently as well as part of a small team.
- Excellent attention to detail and accuracy.
- Good management and direction skills.
- Ability to maintain professionalism and discretion with confidential information.
