Join our dynamic accounting team as a Part-Time Administrative Assistant, where your organizational skills and financial knowledge will support our accounting department . We are seeking a detail-oriented and highly organized Part-Time Administrative Assistant to provide administrative support. This position is responsible for assisting with general office and departmental administrative functions, maintaining organized records, coordinating communications, and supporting workflow efficiency.
This role is strictly administrative in nature and does not perform accounting duties, process financial transactions, make financial decisions, or access confidential accounting records beyond what is necessary to perform assigned administrative tasks.
Essential Duties and Responsibilities
Administrative Support
- Provide general administrative assistance to the Accounting Department.
- Answer and direct phone calls, emails, and inquiries appropriately.
- Prepare, organize, and maintain departmental files and records.
- Assist with scanning, copying, filing, and document management.
- Prepare routine correspondence, forms, and reports as directed.
- Maintain office supplies and coordinate supply orders as needed.
- Assist with scheduling meetings and maintaining departmental calendars.
- Coordinate incoming and outgoing mail and package distribution.
Data Entry and Record Maintenance
- Perform routine data entry and database updates.
- Organize and maintain electronic and physical filing systems.
- Verify completeness of documents before routing for review.
- Track document status and follow up on outstanding items as directed.
Department Coordination
- Assist with special projects and administrative initiatives.
- Coordinate meetings, training sessions, and departmental events.
- Prepare meeting materials and maintain meeting records.
- Support workflow organization and process documentation efforts.
- Communicate professionally with employees, vendors, and business partners.
Qualifications
- High school diploma or equivalent required.
- Associate degree or administrative training preferred.
- Minimum of 2 years of administrative or office support experience, preferred.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and Teams).
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently and as part of a team.
Pay: From $15.00 per hour
