Job Title: Administrative Assistant
Reports To: Preschool Director
Position Status: Part-Time, 12-6, scheduling changes with advance notice
Principal Purpose: To assist in overseeing FACP personnel, closing operations, and administrative functions, ensuring that the program remains in compliance with all licensing requirements and quality standards expected of a 5-star rated program. The Administrative Assistant supports effective communication, organization, and program implementation so that the mission and vision of FACP and Friendly Avenue Baptist Church are accomplished while maintaining a safe, nurturing, and high-quality environment for children, families, and staff.
Responsibilities:
Administrative Leadership:
- Support the Preschool Director and Friendly Avenue Baptist Church to lead, love and serve the staff, students and families with a Christ-like example, modeling professional behavior and work ethic.
- Support the Preschool Director in maintaining positive relationships with the FACP Board, Friendly Avenue Baptist Church and community partners.
- Communicate needs/issues to the Preschool Director as they arise.
- Working knowledge and ability to comply with all necessary regulatory agencies in the absence of the Preschool Director.
- Support the Preschool Director and Classroom Teachers during parent meetings.
Personnel Management
- Assist with staff onboarding, orientation and mentorship.
- Support the Preschool Director in maintaining staff records.
- Assist with classroom coverage and daily scheduling.
- Support and aid in managing conflict among the school staff, following the process described in Matthew 18 outlined in the Staff Handbook.
- Monitor classroom performance, cleaning schedules and communications between staff and families. Communicate needs to the Preschool Director as needed.
- Work with the director to ensure programs, policies, and procedures support whole child development (spiritual, social and emotional, physical and cognitive).
Office Management
- Coordinate with the Preschool Director to oversee the day-to-day operations of FACP.
- Assist the Preschool Director with budget tracking, purchasing, and financial documentation as assigned.
- Maintain and submit annual vaccination records.
- Assist the Preschool Director in maintaining documentation and quality initiatives, including licensing, Go NAPSACC, REACH Recognition, and other quality improvement programs.
- In collaboration with the Preschool Director, implement admissions procedures.
- Communicate maintenance needs to the maintenance staff through the use of work orders.
- Coordinate with the Preschool Director to develop and execute monthly/quarterly safety drills.
- Coordinate with the Preschool Director to publish/post or distribute communications to staff and families (Band, Procare, Menus, Emails).
- In collaboration with the Preschool Director, develop and execute special school events promoting family engagement and involvement at least quarterly as possible.

- Proficiency in Quickbooks, Microsoft Office applications, and has the ability to learn other software applications.

Physical Requirements:
- Ability to sit, stand, walk, bend, kneel, and climb stairs throughout the workday.
- Ability to lift 5 to 30 pounds occasionally.
- Ability to operate a computer and other office equipment for extended periods.
- Ability to communicate effectively with children, families, staff and visitors.
- Ability to read, prepare, and maintain paper and electronic records.

Pay: $18.00 - $20.00 per hour
