Support membership growth and retention by providing outstanding customer service to internal teams and external stakeholders. Serve as primary point of contact for membership phone line. Manage and input data into membership database records, including membership, State Affiliation Fees, Livestock Marketing Council (LMC), special solicitations, YCC, Allied Industry Company main contacts and comps, etc. Manage daily, monthly, annual accounting functions for the membership department.
ESSENTIAL FUNCTIONS

- Maintain database records on dues payments, publications, address changes, demographics, prospects, comments and returned feedback.

Manage maintenance of member data records to ensure the information is current, accurate and readily accessible.

Process dues statements, contributions, credit card charges, dispute chargeback notifications, bounced checks, refund payments, and prepare payment requests.
- Generate daily/monthly membership reporting and post reports for various stakeholders and functions.
- Email monthly membership reports to state affiliate staff, region vice presidents and others as requested.

Prepare and send monthly dues invoices, verification thank you packets and other materials.

Serve as primary responder to inbound membership phone line, manage voice mail and replies to notify others.

Respond to member and stakeholder needs daily via email, mail or by phone.

Primary responsibility for managing the issuance of receipts and reconciliation of monthly state membership lists and related dues collected by state affiliates.

Provide mailing lists for state affiliates and in coordination with communications department, for regular monthly membership publication mailings.

Collect and oversee compilation of mailing lists from state affiliate partners. Ensure accuracy of state mailing lists prior to all direct mail campaigns.

Communicate and provide information on membership, payments, and related questions to internal and external stakeholders.

Manage, with accounting department, state affiliate fee invoices, fee payments, thank you letters, state rebates logistics, and correspondences.
- Serve as the liaison between member services and IT staff on the technical aspects of database functionality.
- Assist external auditors with membership information, and special reports as needed.

Review and monitor (New, Renew and Reinstate) incoming orders received online for membership.

Manage membership pages on NCBA.org website

Manage memberships, promo codes and bounced emails.

Manage member benefits programs on behalf of the membership team.
- Manage Top Hand Club recruitment program on behalf of the membership team.
- Manage regular outbound mailings for the membership team.

Assist governance team with processing board seats and other membership-related governance functions.

Coordinate, generate and prepare a large volume of outbound mailings.

Serve as primary staff manager of membership database.

Provide direction and data to inform team on member recruitment strategies.
- Occasional travel to state cattlemen’s association meetings to assist with membership recruitment may be required.
- Other job duties as assigned.
MINIMUM QUALIFICATIONS
- EDUCATION - High School diploma required. Associate’s or Bachelor’s degree preferred.
- EXPERIENCE – Experience managing complex database, customer service and bookkeeping functions.
