Job Summary
We are seeking a proactive and organized Office Assistant / Administrative Support professional to join our dynamic team. Duties
- Answer multi-line phone systems promptly and professionally, providing exceptional customer support and directing calls appropriately
- Greet visitors at the front desk with friendly and courteous service, maintaining a welcoming atmosphere
- Manage incoming and outgoing paperwork, including filing, data entry, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation, scheduling, and communication tasks
- Maintain organized filing systems both physically and digitally to ensure easy retrieval of documents
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial record-keeping
- Support office management activities such as calendar management, appointment scheduling, and supply inventory control
- Provide clerical support including typing reports, proofreading correspondence, and updating databases as needed
- Demonstrate excellent phone etiquette when handling inquiries or customer support calls in a bilingual environment if applicable
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite and Google Workspace applications
- Experience with QuickBooks for bookkeeping and financial record management
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are a plus to serve diverse clients and team members effectively
