Responsibilities
- Develop comprehensive event plans, including timelines, budgets, vendor negotiations, and logistics coordination to ensure successful execution.
- Manage all aspects of event marketing campaigns to promote events effectively and maximize attendance.
- Oversee vendor relationships, negotiate contracts, and coordinate catering, venue arrangements, audiovisual needs, and other services.
- Lead the entire event lifecycle—from initial planning through on-site management and post-event evaluation—ensuring all details are executed flawlessly.
- Utilize event management software and CRM systems to track attendee information, manage registrations, and analyze event performance metrics.
- Collaborate with internal teams such as marketing, sales, and hospitality to align event objectives with organizational strategies.
- Supervise team members involved in event setup, guest services, and logistical support to foster a collaborative working environment.
- Maintain strict control over managing event budgets by monitoring expenses, optimizing resource allocation, and upselling additional services when appropriate.
- Ensure exceptional customer service by addressing client needs promptly and providing personalized solutions that enhance guest experiences.
- Implement effective time management practices to meet deadlines while managing multiple events simultaneously.
Qualifications
- Proven experience in event planning or events management within the hospitality industry or related fields such as hotel or restaurant operations.
- Strong negotiation skills with a track record of securing favorable contracts and vendor agreements.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with experience using event management software and CRM systems.
- Excellent communication skills—both verbal and written—to liaise effectively with clients, vendors, and team members.
- Demonstrated ability to manage budgets meticulously while identifying opportunities for upselling additional services or upgrades.
- Exceptional organizational skills with keen attention to detail in managing complex logistics for multiple events.
- Leadership qualities necessary for supervising teams and coordinating cross-departmental efforts seamlessly.
- Knowledge of banquet operations, catering processes, hotel event spaces, and restaurant environments is highly desirable.
- Experience with contracts negotiation, fundraising activities (if applicable), guest services excellence, and managing large-scale events is preferred.
