The Role
As our Front Desk Specialist, you are the operational hub of the office. You will own the patient's arrival and departure experience, keep the schedule running efficiently, and make sure every chart, authorization, and payment is handled accurately before it becomes a problem downstream.
This is a hands-on role in a growing practice. You will have real ownership of your workflows and direct access to the physician and practice leadership with no layers of bureaucracy between you and the decisions that affect your day.
What You'll Do
- Greet every patient warmly and professionally, in person and by phone
- Check patients in and out, including collecting copays, deductibles, and outstanding balances
- Schedule and confirm appointments, surgical procedures, and cosmetic consultations; manage the scheduling calendar for efficiency
- Enter complete and accurate patient demographics and insurance information
- Verify eligibility and benefits; obtain HMO referrals from PCPs and prior authorizations for in-office procedures
- Review charts for accuracy, completeness, and required signatures before the patient is roomed
- Answer and triage a multi-line phone system; take accurate messages, create tasks, and route faxes and correspondence same-day
- Reconcile daily payments and run end-of-day reports as closing staff
- Manage the reception area and keep patients informed about wait times
- Support the clinical and cosmetic teams with product inventory, retail sales, and general office operations
- Protect patient privacy and maintain full HIPAA compliance at all times
What We're Looking For - Required
- High school diploma or GED
- 1+ year of experience in a medical office or healthcare front desk role
- Working knowledge of insurance plans, deductibles, referrals, and prior authorization workflows
- Comfort with EMR systems and standard office software; solid typing and computer skills
- Excellent verbal and written communication; a genuinely warm and professional presence
- Strong organizational skills and the ability to juggle competing priorities without dropping details
- Reliable, punctual, and able to commute to St. Petersburg, FL
Preferred
- Prior experience in a dermatology practice
- Experience with ModMed (EMA) or a comparable dermatology EMR
- Experience scheduling surgical or Mohs cases
- Familiarity with cosmetic/aesthetic services and retail product sales
- Bilingual (English/Spanish)
Schedule
Monday through Thursday, 8am - 5:30pm.
