About the Position
We are seeking a highly organized, dependable, and motivated Office Manager / Lead Dental Assistant to join our dental practice. This is a key leadership position responsible for overseeing the daily operations of the office while also providing hands-on support to the clinical team.
The ideal candidate is an experienced dental professional who understands both the clinical and administrative sides of a dental practice. You should be comfortable leading a team, communicating with patients, coordinating schedules, maintaining an efficient workflow, and ensuring that the office operates at a high professional standard.
We are looking for someone who takes ownership, is proactive, detail-oriented, and enjoys creating a positive experience for both patients and team members.
Key ResponsibilitiesOffice Management & Operations
- Oversee the day-to-day operations of the dental office.
- Ensure the office runs efficiently, professionally, and on schedule.
- Coordinate and manage staff schedules, daily assignments, and office workflow.
- Serve as a leader and point of contact for the dental team.
- Help train, onboard, and mentor new employees.
- Monitor office supplies, dental supplies, and inventory and place orders as needed.
- Maintain a clean, organized, and professional office environment.
- Coordinate with dental laboratories, vendors, and outside service providers.
- Assist the dentist/owner with administrative tasks and practice management responsibilities.
- Help identify opportunities to improve office systems, efficiency, and patient experience.
Patient & Front Office Responsibilities
- Greet patients warmly and provide excellent customer service.
- Answer phones, respond to patient inquiries, and assist with scheduling when needed.
- Manage patient appointments and help maintain an efficient schedule.
- Confirm appointments and assist with reducing cancellations and no-shows.
- Handle patient concerns professionally and work toward timely resolutions.
- Assist with treatment coordination and patient communication.
- Maintain patient confidentiality and follow HIPAA requirements.
- Support front-office functions when additional coverage is needed.
Clinical / Dental Assistant Responsibilities
- Prepare treatment rooms and ensure all necessary instruments and materials are available.
- Take and develop/scan dental radiographs as permitted by applicable regulations and office protocols.
- Assist with patient preparation and post-treatment instructions.
- Maintain proper sterilization and infection-control procedures.
- Properly sterilize and maintain dental instruments and equipment.
- Maintain clinical areas according to OSHA, CDC, and office standards.
- Anticipate the dentist's needs during procedures and help maintain an efficient clinical workflow.
- Assist with laboratory procedures, impressions, temporary restorations, and other clinical duties appropriate to training and scope of practice.
Leadership & Team Responsibilities
- Lead by example and maintain a positive, respectful, team-oriented work environment.
- Hold team members accountable to office policies, procedures, and performance expectations.
- Communicate effectively with the dentist/doctor and staff regarding daily operations and patient care.
- Help resolve scheduling, staffing, and workflow issues.
- Encourage teamwork, professionalism, and excellent patient service.
- Help ensure all staff members follow established office procedures and compliance requirements.
Qualifications
- Previous dental assisting experience required.
- Previous dental office management, lead dental assistant, or supervisory experience strongly preferred.
- Knowledge of dental terminology, procedures, and clinical workflow.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Professional, friendly, and confident personality.
- Ability to multitask and remain calm in a fast-paced environment.
- Strong attention to detail.
- Comfortable taking initiative and making day-to-day decisions.
- Ability to work independently while also being an effective team leader.
- Computer proficiency and ability to learn/manage dental practice software.
- Current CPR/BLS certification preferred.
- RHS certification required.
- Knowledge of OSHA and HIPAA requirements.
- Must be dependable, punctual, and committed to providing an excellent patient experience.
