Essential Duties
Office Administration
Organize and support the efficient operation of the church office.
Greet visitors to the building and answer phone calls during agreed-upon office hours.
Open and sort mail and other deliveries and distribute them to the appropriate individuals, including bills and invoices.
Maintain digital and physical filing systems and general parish records.
Maintain parish records, including membership records, sacramental registers (baptisms, confirmations, marriages, funerals), and archival files as directed by clergy.
Maintain the parish database, including contact information, mailing lists, and directory updates.
Manage office correspondence, returning or forwarding emails and voicemails to the appropriate people accurately and in a timely manner.
Provide general administrative support, including document preparation, copying, and office coordination.
Communication & Worship Support
Coordinate with clergy and parish volunteers to prepare and distribute:
Churchwide emails
The weekly bulletin, including printing paper copies
Updates to the parish events calendar, mailing list, and directory
Facilities Coordination
Coordinate with volunteers and service providers to schedule maintenance and repairs as needed.
Assist with communication related to outside groups using the building and grounds.
Maintain inventory of and order office and janitorial supplies as needed.
Financial Administration
Maintain accurate financial records using accounting software.
Prepare checks and ensure bills are paid in a timely manner.
Assist parish leadership with routine financial record-keeping, including managing deposits and pledge tracking.
Record and process weekly offerings and other contributions in coordination with designated parish counters.
Work with volunteers and trustees to prepare monthly financial statements.
Minimum Qualifications
Ability to communicate professionally by phone, email, and in person.
Ability to maintain confidentiality with financial and pastoral matters.
Proficiency with common office software (such as Microsoft Word and Excel) and familiarity with tools such as QuickBooks, Mailchimp, and Canva, or willingness to learn.
Strong organizational and problem-solving skills.
Ability to work both independently and collaboratively with clergy and volunteers.

Pay: $25.00 per hour
