Primary Purpose
The Operations Coordinator role exists to coordinate general operational activities of the church. The role is responsible for fostering a welcoming lobby environment, promoting an outstanding guest experience on Sunday, building teams to serve guests with hospitality and care, facilitating systems for the use of the church, and supporting the maintenance and general operations of the church.
Qualifications, Experience, & Core Competencies
- 3 years or more of experience in coordinating operations activities
- High school diploma or equivalent is required; college education is preferred
- Highly organized with a strong attention to detail and able to prioritize and manage multiple demands
- Excellent in collaborating with and where appropriate leading teams including staff, volunteers, or others
- Effective in accurately identifying opportunities for improvement and discovering appropriate solutions
- Proven ability for clear and accurate communications in both verbal and written expressions

Specific Responsibilities
- Lobby Coordination: Fostering a welcoming environment for guests of our facility
- Working with the Director of Operations to create a warm and welcoming environment in the church lobby while considering the needs of staff and ministries during the week and on Sundays
- Serving on a rotation of staff answering the main church phoneline, assisting callers with questions or issues or routing calls to the proper staff person or ministry leader
- Being present on-site at the church to answer questions or direct individuals who come to the building and need assistance
- Sunday Guest Experience: Promoting an outstanding experience for all guests on Sundays
- Leading the Guest Experience Teams serving on Sunday mornings (Greeters, Info Table, Coffee Team, Communion) to welcome and serve guests in positive and supportive ways
- Monitoring the lobby to answer general questions, help direct people, and note issues that arise
- Processing all connection cards from Sunday services, reaching out to first time guests and routing other questions or issues to the appropriate staff person or ministry leader
- Volunteer Leadership: Building teams of committed and invested volunteers
- Articulating vision to volunteers, inviting and challenging each person to be fully invested in the team
- Training and coaching team members, ensuring that they have the necessary tools and information to fulfill their responsibilities and effectively serve as part of the team
- Caring for volunteers relationally
- Leading individuals and teams through necessary change, managing both process and expectations
- Serving on a team of Connect Coaches who guide congregants in the process of getting involved in the life of our church and walk with them to find places to connect, serve, and give
- Use of Church Building: Facilitating systems for use of building
- Receiving facility use requests and initiating contact with requestors to fully understand needs
- Following requests through the process until event completion
- Managing the opening and closing times of building doors, setting according to a schedule and making changes as necessary
- Coordinating with other ministry areas for resetting of rooms
- Facility Maintenance: Supporting maintenance activities of the church facility
- Maintaining a log of facility maintenance requests including details of the work to be done, communications with the facilities maintenance team, cost estimates for completing the work, and the completion status of each request
- Supporting the facilities maintenance team by purchasing needed materials or submitting receipts for reimbursement of team members as needed
- Serving as initial contact for contractors (cleaning, landscaping, mechanical systems, delivered services) and working with them to resolve issues, make changes in scope of work, etc.
- Overseeing facility contracts, billing, and payments
- General Operations: Coordinating other operational activities of the church
- Working with Support Services to maintain the church’s database, entering data and regularly checking for incomplete/inaccurate records, duplicates, or inconsistencies
- Leading key operational efforts for significant church events such as Christmas, Easter, and other special initiatives
- Being the expert for Serve Team Match Tool and assisting other ministry areas to use it effectively
- Purchasing administrative, cleaning, and maintenance supplies
- Monitoring common spaces (general use rooms, lobby, kitchen, etc.), tidying and cleaning as needed
- Other duties:
- Participating fully as part of the Lake Forest Staff team, prioritizing all staff gatherings and engaging in team and church-wide events and activities as necessary
- Assisting with annual budget and stewarding financial resources for respective ministry area
- Fulfilling other responsibilities as assigned

Pay: $20.00 - $24.00 per hour
