Benefits: Standard; Full-Time, Non-Exempt employees are eligible for but not limited to the following:

Position Summary
- The Business Office & Reception Coordinator serves as the administrative hub of Denver Red Shield, overseeing the daily operations of the business office while providing exceptional administrative support to the Corps Officers and Center Director. This position manages office operations, banking, financial documentation, Corps records, The Salvation Army Mission Manager (TSAMM) data entry, statistical reporting, scheduling, and administrative systems that support the mission of The Salvation Army.
- During the current phase of organizational growth, this position will also serve as the primary receptionist and first point of contact for all visitors, volunteers, donors, vendors, and community members. The Business Office & Reception Coordinator will create a warm, professional, and Christ-centered first impression while managing front desk operations, answering phones, greeting guests, and directing inquiries. As Denver Red Shield continues to grow, these reception responsibilities may transition to a dedicated front desk position, allowing this role to focus more fully on business office administration and organizational operations.
This position is expected to maintain a high level of professionalism, hospitality, organization, and customer service while ensuring the administrative functions of the Corps and Community Center operate efficiently and effectively in support of ministry.
Duties and Responsibilities
- Welcome and assist visitors, volunteers, donors, neighbors, vendors, and community members, ensuring proper sign-in procedures and a warm, professional, Christ-centered first impression.
- Serve as the primary receptionist by answering, screening, and routing incoming phone calls, responding to general inquiries, making outgoing calls as requested, and directing guests to the appropriate staff member or resource.
- Manage the daily operation of the front office and reception area by maintaining a clean, organized, and welcoming environment, ensuring shared spaces, information boards, brochures, and displays remain current and presentable.
- Coordinate incoming and outgoing mail, packages, deliveries, office supplies, and administrative inventory while maintaining organized electronic and physical filing systems.
- Manage organizational calendars, meeting schedules, facility reservations and rentals, and provide administrative support to the Corps Officers and Center Director, including preparing correspondence, reports, agendas, presentations, and meeting materials.
- Prepare and deposit bank deposits, process payments, donations, registrations, receipts, purchasing documentation, and other approved financial transactions in accordance with Salvation Army policies.
- Maintain accurate records within The Salvation Army Mission Manager (TSAMM) and other approved systems by entering Corps membership, volunteer, program, and ministry information while compiling required weekly, monthly, quarterly, and annual statistics and reports.
- Maintain confidential personnel, donor, volunteer, client, and financial records while supporting onboarding and administrative functions for employees and volunteers.
- Support the onboarding process for new staff and volunteers by collecting, processing, and maintaining all required onboarding documentation.
- Open and secure the building as assigned, coordinate vendor access, and assist with the overall organization and efficient operation of the office.
- Encourage youth and adults to participate in Corps ministries, including worship services, Bible studies, youth programs, music ministries, and discipleship opportunities.
- Support Corps programs, Advisory Council meetings, community events, and seasonal Salvation Army ministries, including the Red Kettle Campaign, Angel Tree, and other special initiatives.
- Serve as a Mandatory Reporter, complete all required Safe From Harm and Salvation Army training, and perform other duties as assigned by the Corps Officers or Center Director.
Education/Experience, Skills, Qualities, Requirements
- High school diploma or equivalent required; associate or higher degree or administrative/business coursework preferred.
- Minimum of one (1) year of experience in supervisory office administration, office management, reception, or a related administrative role with supervision responsibilities.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to learn and effectively utilize TSAMM, financial systems, and other organizational software.
- Experience with data entry, recordkeeping, banking procedures, statistical reporting, or general business office functions preferred.
- Strong organizational, time management, and administrative skills with exceptional attention to detail and accuracy.
- Excellent verbal and written communication skills with the ability to interact professionally and courteously with staff, volunteers, donors, vendors, community members, and divisional personnel.
- Demonstrated ability to manage multiple priorities, coordinate schedules, and adapt to changing demands in a fast-paced ministry environment.
- Ability to maintain confidential personnel, financial, donor, volunteer, and client information with discretion and integrity.
- Strong customer service and hospitality skills, demonstrating professionalism, initiative, sound judgment, and a servant-hearted approach to ministry.
- Self-motivated, dependable, and capable of working independently while collaborating effectively with a multidisciplinary team.
- Ability to exercise good judgment, solve problems proactively, and anticipate administrative and office needs.
- Ability to sit, stand, walk, and use standard office equipment for extended periods and occasionally lift up to 25 pounds.
Skills
- Ability to use a computer, email, and new software programs with basic training.
- Must be a self-starter and a team player, perform well with minimum supervision.
- Bilingual English and Spanish, preferred.
- Current First Aid/CPR/AED certification or ability to obtain within 90 days of employment.

Requirements
- Driving
- The employee must be 21 years old at a minimum (for insurance provision) and possess a valid in-state driver’s license
- An MVR will be processed every year in accordance with The Salvation Army’s policies
- Background Check
- Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army’s policies

- Ability to maneuver, to remain in a stationary position, to grasp, push, pull, and reach overhead, to lift 25 pounds, to access and produce information from the computer, to operate a telephone, to understand written information
