We are seeking a highly organized, proactive, and resourceful Executive Assistant / Office Manager to support our growing team. Reporting directly to the CEO and CTO, you will serve as a trusted partner by providing high-level executive support while overseeing the day-to-day operations of our Lakeland office.
This newly created position offers the opportunity to make a meaningful impact within a fast-growing company. Responsibilities include managing executive calendars, coordinating travel, preparing for meetings and events, overseeing office operations, supporting company-wide initiatives, and helping create an organized, productive workplace. This is a fully onsite position based in Lakeland, FL, with no travel required.
Responsibilities:
- Manage complex calendars, appointments, and scheduling for the CEO and CTO.
- Coordinate domestic travel arrangements, itineraries, and expense reporting.
- Prepare meeting agendas, presentation materials, and logistics.
- Serve as a primary point of contact for internal and external communications.
- Oversee daily office operations, ensuring an efficient and professional work environment.
- Coordinate office meetings, employee events, and company functions.
- Maintain organized records, files, and confidential documents.
- Manage office supplies, inventory, and vendor relationships.
- Assist with special projects and provide administrative support across the organization as needed.
- Anticipate executive needs and proactively resolve scheduling and administrative challenges.
Qualifications:
- 5+ years of experience supporting senior executives and managing day-to-day office operations. Previous experience supporting C-level executives (CEO, CTO, President, or similar) strongly preferred.
- Experience in calendar management, travel coordination, meeting preparation/planning, and planning company events and executive functions.
- Expertise overseeing office operations, including vendor management, office supplies, facilities coordination, and general administrative functions.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
- Self-motivated, proactive, and comfortable working in a fast-paced startup environment.
- Excellent organizational, time management, multitasking, and problem-solving skills.
- Associate's degree or higher preferred.
- Willingness to work onsite 5 days per week in Lakeland
