Responsibilities
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Operate multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette
- Manage incoming correspondence, including emails, mail, and packages, while maintaining organized filing systems
- Assist with calendar management and scheduling appointments for staff members or executives
- Perform data entry tasks with high accuracy using Microsoft Office tools such as Word, Excel, and Google Workspace applications
- Support office management activities including supply inventory, basic bookkeeping with QuickBooks, and maintaining office equipment
- Proofread documents for accuracy and clarity before distribution to ensure professionalism in all communications
Experience
- Previous office experience or clerical experience demonstrating proficiency in administrative tasks and customer support
- Strong computer literacy with skills in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software
- Experience handling multi-line phone systems with excellent phone etiquette and communication skills
- Bilingual abilities are highly desirable to assist diverse client needs effectively
- Proven organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Personal assistant or administrative support experience is a plus, especially involving calendar management and bookkeeping responsibilities
- Familiarity with QuickBooks or similar accounting software is advantageous for supporting basic bookkeeping functions
