As our Real Estate Practice area continues to expand, we're looking for an exceptional Legal Assistant to join our team in Pensacola, FL.We specialize in real estate law, community association law, business law, and estate planning/probate—providing top-tier legal services that make a meaningful impact on our community.
The ideal candidate is a proactive problem-solver, strong communicator, and self-starter who can adapt quickly, support the team, and is eager to grow their career as a valued member of our real estate team. They are highly organized, technologically proficient, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
· Serve as the primary point of contact for prospective and current clients, providing exceptional client service via phone, email, and in person.
· Assist with client intake, opening new client files, and maintaining accurate client records.
· Support multiple attorneys and work closely with experienced paralegals in a fast-paced legal environment.
· Assist with scheduling, calendar management, and administrative tasks.
· Coordinate with clients, title companies, lenders, government agencies, courts, and other third parties as needed.
· Coordinate document execution, including obtaining signatures, notarization, and recording documents when necessary.
· Perform clerical duties which may include typing, record keeping, filing, scanning, and photocopying.
· Maintain physical and electronic files in a highly organized manner.
· Drafting and revising letters and documents as needed.
· Prioritize multiple tasks, manage deadlines, and provide general administrative support to the legal team.
· Perform related work as assigned.
What We’re Looking For:
· Minimum of two (2) years of experience in a law firm, legal department, or similar legal environment required.
· Experience in real estate law, estate planning, probate, or related practice areas strongly preferred.
· Familiarity with legal documents such as deeds, closing documents, wills, trusts, powers of attorney, and probate pleadings is preferred.
· Experience assisting with residential and/or commercial real estate closings, including coordinating closing files and communications with lenders, title companies, buyers, and sellers, is a significant plus.
· Excellent written and verbal communication skills.
· Strong organizational skills and attention to detail.
· Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
· Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
· Experience with Adobe Acrobat Pro and legal case management software preferred.
· Ability to work independently while also contributing to a collaborative team environment.
· Strong data entry, document management, and file organization skills.
· Professional demeanor and commitment to providing exceptional client service.
· Positive attitude, willingness to learn, and strong work ethic.
