Role Overview
The Office Manager serves as the operational anchor for Mr. Appliance. They manage all facets of the office, including daily schedules, dispatching and communicating with our technicians. This role handles all customer service, manages billing, and oversees the office, including tracking parts inventory for technician pickup. By keeping the office organized and communication clear, they ensure our technicians stay productive and our customers stay happy.

Mr. Appliance of San Diego is a growing commercial and residential appliance repair company serving North San Diego County. We're looking for a sharp, organized Office Manager who can keep our operations running smoothly, support our technicians in the field, and represent our brand professionally — both on the phone and online.
This is a role for someone who thrives in a fast-paced service environment, enjoys wearing multiple hats, and takes pride in efficiency and follow-through.
What You'll Do
Parts Management & SmartWare
- Receive incoming parts shipments, verify accuracy against open work orders, and process all receipts through SmartWare
- Log parts into inventory and ensure proper storage and labeling
- Coordinate part returns with suppliers — initiate RMAs, track return status, and ensure credits are received
- Place parts orders as needed, sourcing from approved vendor channels and cross-referencing part numbers when required
- Monitor parts-on-order status and proactively communicate ETAs to technicians and the CSR
Customer Service & Dispatch Support
- Serve as backup to the Customer Service Representative (CSR) for inbound calls — scheduling appointments, addressing basic inquiries, and capturing call details accurately
- Collaborate with the CSR on daily route dispatches to ensure technicians are scheduled efficiently and all job information is complete
- Assist with rescheduling, cancellations, and urgent customer needs as they arise
- Maintain a professional, friendly phone presence consistent with Mr. Appliance brand standards
Service Professional Support
- Act as a key point of contact for technicians in the field — fielding operational questions, coordinating parts availability, and helping resolve logistical issues
- Ensure technicians have what they need to complete jobs: parts, work order information, and customer communication
- Help onboard new technicians by walking them through office processes and SmartWare workflows
Administrative Support
- Manage general office operations: filing, data entry, document organization, and supply ordering
- Assist with invoicing, payment processing, and follow-up on outstanding balances as needed
- Maintain accurate records in SmartWare and other systems for work orders, parts, and vendor accounts
- Support the owner with reporting, scheduling, and ad hoc administrative tasks
Social Media & Brand Awareness
- Own our social media presence across platforms (Facebook, Instagram, Google Business, Nextdoor, etc.)
- Create and schedule engaging content that showcases our services, highlights positive customer experiences, and builds community trust
- Monitor reviews and respond promptly and professionally to Google and Yelp feedback
- Coordinate with the owner on any promotions, campaigns, or seasonal content
- Track basic engagement metrics and suggest improvements to grow our online presence
What We're Looking For
- 5+ years of experience in an office manager, administrative, or operations coordinator role
- Experience with field service management software strongly preferred — SmartWare experience is a significant plus
- Comfortable handling inbound phone calls with professionalism and warmth
- Strong organizational skills and the ability to prioritize in a dynamic environment
- Proficient with common office tools (Google Workspace or Microsoft Office, email, spreadsheets)
- Social media savvy — experience managing a business page and creating basic content
- Detail-oriented with a low tolerance for loose ends
- A team player who genuinely enjoys supporting the people around them
