- Answer multi-line phone systems promptly and professionally, providing excellent customer support
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Oversee calendar management and schedule appointments for staff or management teams
- Handle correspondence via email, phone, and written communication with accuracy and professionalism
- Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Coordinate office supplies procurement, inventory management, and general office maintenance tasks
- Provide clerical support such as typing reports, preparing presentations using Microsoft Office and Google Workspace tools
- Assist with special projects including personal assistant duties or event planning as needed
Experience
- Proven office management experience with a strong background in administrative support roles
- Demonstrated proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience working with multi-line phone systems and phone etiquette best practices
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Prior experience in customer service or customer support roles that emphasize professionalism and communication skills
- Familiarity with clerical tasks such as filing, proofreading, data entry, and calendar management
- Knowledge of QuickBooks or bookkeeping software is a plus
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Previous experience in medical or dental receptionist roles is beneficial but not required
