Bluewater Inc. is seeking a dependable, organized, and detail-oriented Invoicing Specialist / Relief Dispatcher to support our Ohio hauling operations in Cambridge, OH.
The primary responsibility of this position is managing customer invoicing and ensuring loads are accurately and timely billed. This role will also provide relief dispatch coverage, including participation in an alternating weekend rotation.
The ideal candidate is comfortable working in a fast-paced transportation environment, has strong attention to detail, and can effectively communicate with drivers, customers, dispatchers, and management.
Work Schedule
The position generally works five days per week, Monday through Friday, with participation in an alternating weekend rotation.
Typical rotation:
- Week 1: Five 8-hour days
- Week 2: Three 8-hour days and two 12-hour days
Invoicing Responsibilities
- Process and submit customer invoices for Ohio-based hauling operations.
- Ensure completed loads are invoiced within required customer timelines.
- Maintain accurate and organized billing records.
- Reconcile load tickets, dispatch reports, and driver documentation.
- Verify rates, mileage, detention, and applicable accessorial charges.
- Ensure invoices comply with contract terms and approved rate schedules.
- Identify and resolve discrepancies before invoices are submitted.
- Communicate daily with Ohio Dispatch and Yard Leadership.
- Work directly with drivers when documentation or load information needs clarification.
- Assist with improving ticket capture, documentation, and billing workflows.
- Identify and report recurring operational or documentation issues that impact billing.
- Assist with customer billing questions and invoice research.
- Provide supporting documentation when requested.
- Support Accounting with month-end reporting related to Ohio revenue.
Relief Dispatch Responsibilities
When providing dispatch coverage, responsibilities will include:
- Oversee daily dispatch operations and coordinate driver assignments.
- Schedule and route drivers to maintain efficient operations and timely service.
- Maintain communication with drivers, customers, and operations personnel.
- Monitor daily activity and address scheduling or operational issues as they arise.
- Review operational performance and identify opportunities for improvement.
- Coordinate truck maintenance, tire repairs, and replacements as needed.
Qualifications
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Comfortable communicating directly with truck drivers, customers, and management.
- Ability to identify discrepancies and independently work toward resolution.
- Basic computer and data-entry skills.
- Prior experience invoicing or dispatching
- Desired experience in the transportation sector or oilfield
