Now Hiring: HVAC Dispatcher
We're looking for an organized, customer-focused HVAC Dispatcher to join our growing team! This is a key role that helps keep our technicians productive, our customers informed, and our daily operations running smoothly.
Key Responsibilities
- Schedule and dispatch HVAC service technicians based on priority, location, and availability.
- Coordinate daily service calls, maintenance appointments, and emergency service requests.
- Communicate with customers to confirm appointments, provide updates, and ensure excellent customer service.
- Monitor technician progress throughout the day and adjust schedules as needed.
- Order HVAC parts and materials needed for repairs and installations.
- Process manufacturer warranty claims and track warranty parts from start to finish.
- Prepare and send repair and replacement quotes to customers in a timely manner.
- Follow up on outstanding quotes and assist customers with questions regarding estimates.
- Maintain accurate records of work orders, customer information, parts orders, and service history.
- Work closely with technicians, vendors, and management to ensure jobs are completed efficiently.
- Answer incoming calls professionally and assist customers with scheduling and service inquiries.
- Perform other administrative and office support duties as needed.
Required Skills & Qualifications
- Previous dispatching, scheduling, or customer service experience (HVAC, plumbing, electrical, or home service industry preferred).
- Strong organizational and multitasking skills in a fast-paced environment.
- Excellent communication and customer service skills.
- Ability to prioritize multiple tasks and adapt to changing schedules.
- Experience using computers, Microsoft Office, and dispatch or scheduling software.
- Comfortable preparing estimates, processing warranties, and coordinating parts orders.
- Strong attention to detail and problem-solving abilities.
- Dependable, self-motivated, and a team player.
- Knowledge of HVAC equipment and terminology is a plus but not required.
