Join our dynamic healthcare team as an Optometric Office Technician and Assistant, where you'll play a vital role in delivering exceptional patient care and supporting the smooth operation of our optometry practice. Responsibilities
- Greet patients warmly, verify their information, and assist with intake processes to ensure accurate medical records and patient flow
- Prepare exam rooms using aseptic techniques to maintain a sterile environment for eye procedures and testing
- Manage electronic medical records (EMR) systems like Epic or similar platforms, ensuring accurate documentation of patient visits and procedures
- Handle front desk duties such as scheduling appointments, answering phone calls, and managing patient check-in/check-out processes
- Support medical billing, coding, and insurance claim submissions in compliance with HIPAA regulations
- Maintain organized medical records, ensuring confidentiality and proper storage of sensitive information
- Promote excellent patient care by providing clear instructions on eyewear options, retail sales of glasses or contact lenses, and follow-up care
- Maintain a clean, organized, and professional office environment.
- Manage eyewear inventory. Including receiving, entering, displaying, and maintaining new and existing frame collections; along with daily tracking of all glasses and contact lens orders.
- Communicate with management, patients, insurance companies, contact and frame vendors, and laboratory partners regarding patient orders, claims, and product inquiries.
- Utilize optical equipment to conduct prefatory or provider instructed testing.
- Utilize practice management software to documents and maintain accurate patient records, process transactions, and support daily office operations.
- Assist patients with frame selection creating an interactive and fun browsing environment.
- Provide educational classes on the proper use, care, handling, and maintenance of corrective lenses; including contact lenses.
- Coordinate and maintain the office schedule; including scheduling, confirming, and managing appointments for all patients.
- Monitor office supply inventory levels and replenishing all patient-facing and operational supplies.
- Prepare eyewear for patient pickup, utilize equipment to verify lens prescription and make adjustments to the frame based on patient comfortability. Dispense all patient eyewear; glasses and/or contact lenses.
- Assist in maintaining a professional and welcoming presence of the office on social media platforms at all times.
Experience
- Previous experience in a medical office setting or ophthalmology clinic is highly preferred, but not required
- Experience in retail sales or customer service roles enhances ability to assist patients with eyewear selections
- Understanding of HIPAA compliance and medical records management is essential for maintaining patient privacy
- Strong organizational skills in handling medical billing, coding, and insurance documentation
- Prior front desk or administrative experience in a healthcare environment is advantageous
