The Front Desk Coordinator ensures standardization in front office operations, enhances patient experience, and promotes efficiency in administrative workflows. Delivers courteous and efficient front-office support by welcoming patients, coordinating appointments, verifying insurance information, managing calls, and assisting with referrals to ensure seamless patient experience. Key responsibilities include:
- Greet and check in patients, creating a warm, welcoming, and positive experience.
- Schedule patient appointments and effectively coordinate provider calendars.
- Prepare patient charts 24-48 hours prior to appointments by verifying insurance benefits and eligibility.
- Collect patient co-pays, deductibles, and any outstanding balances in accordance with organizational policies.
- Coordinate front office triage and patient flow while maintaining effective communication with back office staff and clinic leadership.
- Answer incoming phone calls and respond to patient inquiries in a professional, courteous, and timely manner.
- Assist patients with referrals, authorizations (as applicable), and scheduling follow-up appointments.
- Monitor and respond promptly to Microsoft Teams and Athena Health communications.
- Scan, upload, and maintain accurate patient records in the electronic medical record (EMR) system.
- Maintain patient confidentiality and comply with all HIPAA and organizational policies.
- Perform other duties and responsibilities as assigned to support clinic operations.
- High school diploma or equivalent required.
- Minimum of one (1) year of experience as a Medical Receptionist, Front Office Coordinator, or in a medical front office setting required.

Current Basic Life Support (BLS) certification required.
- Proficiency in Microsoft Office Suite, electronic health record (EHR) systems, and appointment scheduling software required.
- Experience with Athenahealth (Athena) EHR is highly preferred.
- Excellent verbal and written communication, customer service, organizational, and multitasking skills.
- Ability to maintain professionalism, accuracy, and attention to detail in a fast-paced clinical environment.
- Ability to sit, stand, bend, and lift up to 25 pounds as needed throughout the workday.
- Reliable transportation is required, as occasional travel to other clinic locations may be necessary.
- Ability to work collaboratively as part of a multidisciplinary healthcare team while providing exceptional patient service.
