JOB DESCRIPTION
Title: Administrative Assistant
Reports to: Pastor
Status/Hours: Part-time: 40 per two-week pay period. Flexible hours and scheduling
(Typical Office Hours: Monday – Thursday: 9am – 2pm)
Position Objective:
The Administrative Assistant serves as the primary coordinator of church office operations and administrative support. This position facilitates effective communication, hospitality, and ministry support for the congregation, staff, council, and community.
Ministry Impact:
The Administrative Assistant is the “face of the place” during the week and supports St. John’s mission through efficient office management and compassionate interaction with members and visitors.

Duties & Responsibilities:
o Maintain regular office hours and oversee daily office operations
o Answer and respond to phone calls, emails, and church correspondence
o Welcome and assist members and visitors
o Provide information, schedule appointments, assist with record requests, assist cemetery visitors, etc.
o Maintain church calendar including appointments, meetings, funerals, weddings, baptisms, and events
o Create worship documents and weekly newsletters
o Organize and maintain church records and filing systems
o Update parish records: weddings, funerals, baptisms, communion, confirmation, membership, etc.
o Coordinate with the Pastor on worship preparation and upcoming events
o Manage Prayer List
o Order worship and office supplies (cleaning, worship, programming)
o Refresh Devotional materials and announcement bulletin boards
o Maintain membership, leadership, and committee directories
o Prepare annual congregational and ELCA reporting documents
o Coordinate maintenance of office equipment
o Communicate with local paper for special events, scheduling, and public announcements
o Regularly update social media (Facebook) and website content
o Coordinate volunteer schedules for worship and events
o Assist Cemetery Board with cemetery roster
o The Administrative Assistant may perform other related duties as assigned in support of the mission and ministry of St. John Lutheran Church, ELCA.
Qualifications & Technologies:
o 1-2 years of experience in running an office and supporting leadership
o Previous church office is helpful, but not required.
o Proficient in Microsoft Office programs (Word, Excel, PowerPoint, Outlook)
o Canva (or other media marketing creator program)
o Strong organizational and communication skills
o Ability to maintain confidentiality and professionalism
o Attention to detail
o Ability to multitask and prioritize responsibilities
o Event coordination
Physical Requirements:
o Ability to sit, stand, climb stairs, and work at a computer.
o Ability to lift up to 20 pounds
o Ability to navigate uneven ground and church property safely
Confidentiality Statement:
This position requires maintaining strict confidentiality regarding church records, financial information, pastoral matters, and member information. Sharing information should be limited to the Pastor or, as requested, by the individual member or visitor.

Evaluation:
Performance evaluations will be conducted annually by the Pastor in consultation with the Congregational Council.
Vacation & Benefits:
Compassion Leave: 3 days of leave for the death of an immediate family member.
Vacation Time: 1 week of paid vacation per calendar year
Compensation: This is an hourly position with a starting range of $13-$15 per hour, based on experience.
