Job Summary:
The Administrative Assistant I role within Asset Servicing – Corporate Actions (S3) supports custody and accounting processing related to mandatory and voluntary corporate actions, with a primary focus on Proxy Voting and Class Actions. This position plays a key role in ensuring clients are able to participate in proxy meetings and receive class action payments accurately and on time.
This is a 12-month contract role based in Pittsburgh, PA, operating in a hybrid model with 4 days onsite per week. The role supports high-volume operational processes, requires strong attention to detail, and offers exposure to asset servicing and corporate actions within a structured financial services environment.
Key Responsibilities:
Proxy & Class Actions Support: Support Proxy Voting and Class Action processes by working with vendors to ensure timely delivery of proxy ballots and accurate class action payment processing.
Corporate Actions Processing: Assist with mandatory and voluntary corporate actions, including processing liability notices, allocating dividend and interest payments, and supporting related custody and accounting activities.
Reconciliation & Validation: Reconcile client holdings against agent holdings to ensure accuracy of proxy ballots and event data.
Client Inquiry Support: Respond to basic client inquiries and requests, escalating more complex issues to senior team members or supervisors as appropriate.
Documentation & Recordkeeping: Ensure all required documentation is accurately maintained within corporate action event files in accordance with internal procedures.
Operational Quality & Accuracy: Take ownership of assigned work, ensuring high-quality output, adherence to timelines, and compliance with operational controls.
Process Improvement Support: Contribute to client conversion activities, release support, and continuous improvement initiatives.
Team Collaboration: Provide guidance to more junior staff when needed and collaborate with team members to support daily operational workloads.
Qualifications:
High school diploma or equivalent required
Bachelor’s degree preferred
2 years of total work experience in financial services processing or corporate actions is preferred
Preferred Experience:
Experience supporting Proxy Voting and/or Class Actions
Experience working in high-volume, process-driven operational environments
Ability to manage workload flexibility, including overtime during peak periods
