Job Summary
We are seeking a highly organized, experienced, and dependable Bilingual (Spanish/English) Administrative Assistant with a strong background in the Personal Injury (PI) and medical industry.
The ideal candidate should have hands-on experience working with personal injury patients, accident law firms, medical liens, attorney referrals, TBI cases, insurance verification, medical billing, and patient scheduling.
We are looking for someone who is hardworking, proactive, timely, detail-oriented, and an excellent communicator. This position requires someone who understands the urgency and follow-through involved in PI cases and can effectively communicate with patients, attorneys, law firms, medical providers, insurance companies, and our internal team.
Responsibilities
- Complete Verification of Benefits (VOB) accurately and promptly.
- Understand insurance eligibility, deductibles, copays, coinsurance, and benefit information.
- Schedule and coordinate patient evaluations, treatments, follow-ups, and other appointments.
- Work with Personal Injury patients and understand the general workflow of PI cases.
- Communicate professionally with personal injury and accident law firms, attorneys, case managers, and referral sources.
- Understand and work with medical liens and lien-based treatment.
- Track PI patients and maintain accurate documentation related to their cases.
- Have familiarity with TBI (Traumatic Brain Injury) cases, including the importance of appropriate documentation, scheduling, communication, and follow-up.
- Understand medical billing processes and work closely with the billing department to resolve questions or missing information.
- Maintain accurate patient demographics, attorney information, insurance information, referral sources, and case details.
- Manage incoming calls, emails, patient inquiries, and attorney requests in a professional and timely manner.
- Follow up on outstanding tasks and ensure nothing falls through the cracks.
- Maintain accurate data entry, filing, document management, and patient records.
- Communicate effectively between providers, patients, attorneys, billing, scheduling, and other departments.
- Maintain patient confidentiality and follow applicable privacy and company requirements.
Experience & Qualifications
- Fluent in English and Spanish — required.
- Prior experience working in the Personal Injury industry — strongly preferred.
- Experience working with accident/personal injury law firms, attorneys, case managers, and lien-based patients.
- Understanding of medical liens and the Personal Injury treatment process.
- Experience or strong familiarity with TBI cases is highly preferred.
- Experience with Verification of Benefits (VOB).
- Knowledge of medical billing and insurance processes.
- Strong experience with patient scheduling and appointment coordination.
- Experience working in a medical practice, neurological practice, PI clinic, or similar healthcare environment is highly preferred.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to manage multiple patients and cases while meeting deadlines.
- Strong attention to detail and accuracy.
- Must be reliable, hardworking, responsive, and consistent with follow-through.
- Comfortable working in a fast-paced environment and taking initiative without needing constant supervision.
- Proficient with Microsoft Office and comfortable learning EHR, scheduling, billing, and other medical software.
Who We're Looking For
We are looking for someone who already understands the Personal Injury world or has substantial related experience. You should be comfortable communicating with accident law firms, understanding liens, tracking PI patients, working with insurance benefits, scheduling patients, and following cases through the medical process.
Experience or familiarity with TBI patients and neurological services is especially valuable.
Most importantly, we need someone who is organized, timely, dependable, communicates well, takes ownership of their responsibilities, and follows through. In a Personal Injury medical environment, delays in scheduling, documentation, benefits verification, or communication can affect the entire case, so attention to detail and urgency are extremely important.
