Overview
We are seeking a dynamic and personable Front Desk Staff member to be the welcoming face of our organization. This role is vital in creating a positive first impression for visitors, clients, and team members alike. As the frontline representative, you will handle a variety of administrative and clerical tasks, ensuring smooth office operations and exceptional customer support. Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive experience from the moment they arrive
- Manage multi-line phone systems efficiently, directing calls to the correct departments or personnel with professionalism and courtesy
- Handle incoming and outgoing correspondence, including emails, mailings, and deliveries with accuracy and timeliness
- Maintain the front desk area in a neat, organized manner, including filing, data entry, and document proofreading as needed
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using tools like QuickBooks or similar software
- Assist with clerical duties including typing reports, managing office supplies, and supporting administrative projects to enhance daily operations
- Provide excellent customer service by addressing inquiries promptly and courteously while maintaining confidentiality
Requirements
- Proven experience in front desk or office management roles with strong clerical skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools
- Excellent phone etiquette with experience handling multi-line phone systems efficiently
- Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment
- Demonstrated experience in customer service roles with a focus on professionalism and supportiveness
- Knowledge of office equipment such as printers, scanners, and fax machines; familiarity with QuickBooks or bookkeeping software is a plus
- Personal assistant experience or calendar management skills are advantageous for supporting executive needs
