Purchasing & Production Coordinator

Position Summary
The Purchasing & Production Coordinator is responsible for ensuring our production team has the materials, vendor relationships, inventory systems, and communication necessary to manufacture and deliver projects on time.
This position combines purchasing, inventory management, production coordination, supplier management, and operational process improvement. The ideal candidate enjoys taking ownership, creating organization from complexity, and continuously looking for ways to improve efficiency.
Primary Responsibilities Purchasing & Strategic Sourcing
- Purchase materials, hardware, electrical components, packaging, and production supplies.
- Research, qualify, and develop relationships with new suppliers to improve pricing, quality, and lead times.
- Negotiate pricing, payment terms, and purchasing agreements with vendors.
- Continuously evaluate supplier performance for quality, reliability, responsiveness, and cost.
- Build long-term, mutually beneficial relationships with vendors and manufacturing partners.
- Resolve purchasing issues, shortages, damaged shipments, and backorders quickly.
- Monitor market pricing and identify opportunities for cost savings.
Inventory Management
- Maintain accurate inventory quantities and purchasing records.
- Develop and maintain inventory reorder points and minimum stock levels.
- Create systems that prevent production delays due to material shortages.
- Conduct cycle counts and inventory audits.
- Organize inventory for maximum efficiency and accessibility.
- Identify obsolete inventory and opportunities to reduce waste.
- Improve inventory organization and storage throughout the production facility.
Production Coordination
- Help coordinate daily production priorities with the General Manager and Studio team.
- Monitor production schedules and ensure materials are available before production begins.
- Track production timelines and proactively communicate delays or concerns.
- Assist with scheduling workflow to ensure customer deadlines are achieved.
- Communicate production progress between the studio, management, and purchasing.
- Identify production bottlenecks and recommend solutions before they affect delivery dates.
- Help maintain production reports and order status updates.
Process Improvement
- Continuously improve purchasing, inventory, and production systems within the studio.
- Assist General Manager with creating Standard Operating Procedures (SOPs).
- Recommend improvements that increase efficiency, reduce costs, and improve workflow.
- Assist in organizing the production studio for maximum productivity.
- Help implement Lean manufacturing and continuous improvement principles where appropriate.
- Ensure work areas remain organized, clean, and production-ready.
Administrative Responsibilities
- Create and manage purchase orders.
- Track incoming shipments and expected delivery dates.
- Maintain vendor files and purchasing documentation.
- Monitor production-related reporting and inventory metrics.
- Assist leadership with operational projects and process improvements.
- Support additional operational needs as the company grows.
