About the Role
Due to continued growth, Pella of Columbus is seeking a detail-oriented and customer-focused Project Coordinator to join our team. This role is responsible for managing multiple customer projects from point of sale through final close-out, ensuring an exceptional customer experience while supporting project profitability and operational efficiency.
The Project Coordinator serves as a key liaison between customers, sales, operations, service, and installation teams. Successful candidates are highly organized, proactive problem-solvers who thrive in a fast-paced, collaborative environment.
Key Responsibilities
Customer Experience & Communication
- Serve as a primary point of contact for customers throughout the project lifecycle.
- Provide timely, professional communication to customers, sales representatives, and internal teams.
- Address customer questions, concerns, and service needs promptly to ensure high satisfaction.
- Represent the Pella brand with professionalism in all customer-facing interactions.
Project & Order Management
- Review, place, and manage all product and material orders from Pella and approved vendors.
- Ensure accuracy of orders, specifications, quantities, and delivery requirements.
- Properly manage project need dates to support inventory turns and scheduling efficiency.
- Maintain accurate project documentation and records, including key dates and activities.
Scheduling & Logistics
- Coordinate product delivery, installation, and service events.
- Schedule and confirm service appointments and deliveries with customers, technicians, and sales teams.
- Monitor project timelines and proactively communicate changes or risks.
Service & Recovery Management
- Review service requirements on contracted orders to ensure proper execution.
- Manage recovery processes for damaged, missing, or incorrect product.
- Identify and implement solutions to unforeseen challenges during the project lifecycle.
- Support service completion through final resolution and customer recovery when necessary.
Internal Collaboration & Close-Out
- Collaborate closely with sales personnel, managers, and operations teams to ensure smooth project execution.
- Complete special billing documentation as required.
- Ensure all projects are invoiced accurately and in a timely manner.
- Prepare and deliver final project close-out documentation, including warranties and service materials.

Qualifications & Requirements
- High school diploma or equivalent required.
- Minimum of 1 year of project coordination or related experience preferred.
- Experience working with scheduling tools, CRM systems, and spreadsheets.
- Strong computer proficiency with the ability to navigate multiple software platforms.
- Ability to apply basic mathematical concepts related to measurements, quantities, and timelines.
- Experience in construction, installation coordination, or building materials is a plus.
- Ability to effectively present project updates in team meetings.
