Position Summary
The Advisor Channel Onboarding Consultant is responsible for leading adopting employers, advisors, and key stakeholders through the transition from sales to ongoing service. This role ensures a smooth, accurate, and timely onboarding experience by coordinating plan setup, payroll readiness, documentation, training, and implementation milestones for employers joining existing retirement plan arrangements.
Serving as the primary onboarding contact, the Consultant manages communication with clients, advisors, prior recordkeepers, prior TPAs, payroll providers, and internal teams. The Consultant partners cross-functionally to collect required documentation, support due diligence review, coordinate asset transfer timing when applicable, confirm payroll setup requirements, and maintain visibility into risks, outstanding items, and implementation progress. The role is focused on delivering a consistent onboarding experience that supports client satisfaction, advisor confidence, operational accuracy, and long-term service readiness.
Essential Functions
- Manage an assigned caseload of adopting employer onboarding cases, ensuring each transition moves efficiently from Sales handoff through implementation readiness.
- Serve as the primary point of contact during onboarding for plan sponsors, financial advisors, prior recordkeepers, prior TPAs, payroll providers, and other external partners.
- Drive onboarding communications, expectations, outstanding items, milestone tracking, risk identification, and escalations to keep each case moving toward completion.
- Review the Sales handoff and onboarding documentation to identify plan provisions, advisor relationships, missing information, dependencies, and required follow-up.
- Collect prior plan documents, records, payroll information, and other required materials; route them to the appropriate internal teams for review and processing.
- Partner with the Plan Transfer Specialist to support transfer activities, including the submission of prior plan documentation for due diligence and the resolution of identified issues.
- Coordinate with prior TPAs, prior recordkeepers, plan sponsors, financial advisors, and internal partners to establish and confirm asset-transfer timelines and key milestones.
- Facilitate virtual onboarding meetings to review progress, explain next steps, address outstanding items, and maintain momentum toward implementation deadlines.
- Partner cross-functionally to ensure onboarding, document, plan setup, payroll, and transfer-related deliverables are completed accurately, timely, and in alignment with service standards.
- Guide clients through payroll submission and approval processes, including coordination with payroll vendors and external partners.
- Review initial payroll contribution files for accuracy and completeness, identify discrepancies, and coordinate required corrections before processing.
- Conduct training on systems, services, contribution submission methods, and resources related to onboarding and plan setup.
- Maintain accurate onboarding records, case notes, milestones, task status, and implementation updates in Salesforce and other internal systems.
- Provide visibility into onboarding activity, recurring issues, client and advisor feedback, and process improvement opportunities.
- Identify risks early and engage the appropriate subject matter experts to support timely resolution.
Skills & Abilities
- Strong understanding of the 401(k) industry and the retirement plan onboarding lifecycle, including plan setup and transfer coordination.
- Experience working with retirement plans distributed through financial advisor channels.
- Excellent organizational and time-management skills, with the ability to manage multiple onboarding cases, track dependencies, and meet client and regulatory deadlines.
- Strong attention to detail, with a focus on accuracy, documentation quality, and risk mitigation.
- Clear, professional written and verbal communication skills, including the ability to coordinate messaging across plan sponsors, advisors, prior recordkeepers, TPAs, payroll providers, and internal partners.
- Analytical and proactive problem-solving skills, including the ability to identify issues early and engage subject matter experts for resolution.
- Demonstrated ability to build and maintain effective internal partnerships across implementation and service teams.
- Ability to work independently while coordinating work across multiple stakeholders and teams.
- Proficiency with Microsoft Office applications and Salesforce or a similar CRM platform.
Experience
- 3+ years of experience in retirement plan implementation, client onboarding, advisor support, recordkeeping, TPA services, or a related retirement industry role.
- Experience supporting retirement plan onboarding through financial advisor distribution channels, including direct interaction with advisors, employers, and external stakeholders.
- Experience coordinating onboarding deliverables such as document collection, payroll readiness, implementation milestones, asset transfer coordination, and client training.
- Experience supporting adopting employers or clients transitioning to a new retirement plan provider or joining an existing retirement plan arrangement is preferred.
- Salesforce and payroll integration experience preferred.
- ASPPA, NIPA, or other retirement industry designation preferred.
Education
- Bachelor’s degree in business or a related field preferred, or equivalent relevant work experience.
Certificates and Licenses
- Retirement industry designation preferred, such as ASPPA, NIPA, or a comparable professional credential.
Work Environment

What’s in it for you Package. This role will have a salaried base pay range of $67,761.00 to $91,172.00 USD. Please know, this is the base range only and does not consider other components that make up the total rewards package for this role. This position is also eligible for an annual performance bonus.
