We are seeking a dynamic and detail-oriented Accounting & Front Office Assistant to join our team. Duties
- Manage accounts payable and receivable, ensuring timely processing of invoices, payments, and collections using software such as QuickBooks, Xero, or Sage
- Perform bank reconciliations, balance sheet reviews, and general ledger entries aligned with GAAP (Generally Accepted Accounting Principles) standards
- Utilize financial systems like Workday, ADP, Kronos, UltiPro, Ceridian, or PeopleSoft for payroll processing and employee data management
- Conduct data entry tasks with high accuracy, including journal entries, account analysis, and account reconciliation
- Support bookkeeping activities for diverse accounts, including governmental or non-profit organizations
- Assist with budgeting processes and financial data analysis through Excel data analysis tools and spreadsheets
- Provide front office support by answering inquiries, managing visitor access, handling confidential information professionally, and maintaining organized records
Qualifications
- Proven experience in accounting or finance roles with familiarity in corporate accounting practices and financial concepts such as debits & credits, journal entries, and account analysis
- Hands-on experience with accounting software like QuickBooks, Sage, Xero, PeopleSoft or similar systems; familiarity with ADP or Ceridian is a plus
- Knowledge of SOX (Sarbanes-Oxley Act) compliance requirements and governmental accounting standards preferred
- Strong proficiency in Microsoft Office Suite—especially Excel for data analysis—and spreadsheet management skills
- Excellent numeracy skills with the ability to perform 10 key typing accurately and efficiently
- Demonstrated ability to handle confidential information discreetly while maintaining high attention to detail
- Effective customer service skills with the ability to communicate clearly and professionally in person or via phone/email
- Ability to perform basic math calculations related to budgeting, credit analysis, and account reconciliation confidently
- Strong organizational skills with the capacity to prioritize tasks in a fast-paced environment
