Job Overview
We are seeking a dynamic and highly organized Medical Office Manager to lead our healthcare practice with energy and precision. Responsibilities
- Oversee all aspects of medical office operations, including scheduling, patient flow, billing, and administrative support.
- Manage and supervise clinical and administrative staff, including hiring, training, performance evaluations, and team development.
- Ensure compliance with healthcare policies such as HIPAA (Health Insurance Portability and Accountability Act), JCAHO (Joint Commission on Accreditation of Healthcare Organizations), and other relevant regulations.
- Maintain accurate medical records and electronic health records (EHR) systems such as Epic, eClinicalWorks, Dentrix, or Eaglesoft to ensure data integrity and confidentiality.
- Oversee fiscal management activities including budgeting, financial reporting, billing processes, managed care contracts, and revenue cycle management.
- Coordinate with healthcare providers to optimize practice management workflows and improve patient outcomes.
- Implement policies for medical management, utilization review, and quality assurance to uphold high standards of care.
- Monitor clinic performance metrics using EMR/EHR systems to identify opportunities for operational improvements.
- Manage human resources functions such as staffing schedules, employee relations, compliance training in HIPAA and health regulation policies.
- Facilitate communication between departments to ensure smooth clinic operations while maintaining a patient-centered approach.
Experience
- Proven experience in medical office or healthcare practice management with a strong background in office management within clinical settings such as dental clinics or medical practices.
- Demonstrated supervisory experience leading teams in healthcare environments; ability to motivate staff and foster a collaborative team culture.
- Extensive knowledge of medical administrative support functions including medical terminology, medical records management, billing procedures, and insurance processes.
- Hands-on experience with EMR/EHR systems like Epic, eClinicalWorks, Dentrix or Eaglesoft; familiarity with managing electronic health records securely under HIPAA guidelines.
- Strong fiscal management skills encompassing budgeting, financial analysis, revenue cycle management, and managed care negotiations.
- Familiarity with healthcare regulations such as JCAHO standards, HIPAA compliance policies, utilization management protocols, and health regulation policies across various healthcare settings including hospitals or clinics.
- Experience working within acute care or hospital environments is advantageous; veterinary or dental clinic experience is also valued for specialized practices.
- Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced healthcare setting.
