Responsibilities
- Greet visitors and manage front desk duties with professionalism and warmth, ensuring a positive first impression.
- Answer multi-line phone systems promptly, directing calls accurately and courteously while practicing excellent phone etiquette.
- Perform data entry, filing, and document proofreading to maintain accurate records and support office workflows.
- Manage calendar appointments, schedule meetings, and coordinate events using Google Workspace or Microsoft Office tools.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping.
- Support office management activities such as supply inventory, organization of files, and maintaining a clean workspace.
- Provide exceptional customer service by addressing inquiries, supporting clients or patients, and ensuring their needs are met efficiently.
Skills
- Proven experience with office management, clerical tasks, and administrative support in a professional setting.
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Familiarity with multi-line phone systems, front desk operations, and phone etiquette is essential.
- Experience with bookkeeping software such as QuickBooks is preferred for handling financial transactions accurately.
- Demonstrated attention to detail through proofreading documents and managing filing systems.
- Customer service skills that include active listening, problem-solving, and maintaining professionalism under pressure.
- Empathy and diplomacy are required as sometimes being the initial point of contact for funeral and wedding scheduling.
