Your Role
The HR Data Coordinator/Assistant provides critical support to the Human Resources department by managing employee records, assisting with the onboarding and offboarding processes, coordinating all HRIS data and employment files, and maintaining labor compliance and tracking for the organization. They act as the primary point of contact for routine employee inquiries and help maintain strict confidentiality across all personnel documents.
Responsibilities
- Maintain accurate physical and digital personnel files across the full employee lifecycle (including interns and temporary staff), ensuring data is up to date. Ensuring compliance with organizational, funding source, state and federal guidelines.
- Create personnel file and enter employee data in HRIS system. Ensuring required documentation is obtained and tracked in the HRIS system.
- Process of all personnel changes (physical and digital), including but not limited to status, pay/position, and terminations.
- Work with HR admin team with preparing files needed for employment audits.
- Assists with generating reports and org charts in HRIS system.
- Maintain labor compliance and notices for the organization.
- Prepare files for record retention and storage.
- Assist with new hire onboarding: verify I-9 documentation, and obtain pre-employment paperwork and prepare employment files.
- Process employment changes in HRIS, and assists with open enrollment preparation or mass payroll changes.
- Serve as the first point of contact for staff inquiries regarding HR policies, company procedures, and basic benefits information.
Qualifications
- Associates Degree required. Bachelor’s degree preferred.
- Minimum of two to three years of relevant clerical or coordinator work experience.
- Proficient in HRIS data systems; Paycor a plus.
- Proficient in Microsoft Office Suite and Outlook.
- Demonstrate exceptional customer service, telephone skills, and attention to detail.
- Excellent verbal and written communication skills. Ability to maintain a high level of confidentiality.
- Excellent organizational skills, ability to prioritize and perform multiple tasks.
- Professional appearance and demeanor
- Ability to interact effectively with diverse populations and all staff levels within the organization and to manager stressful situations with a calm demeanor, patience, and diplomacy.
- Proficient in the use of computers, software applications, and working knowledge of Microsoft Office Suite programs, with good keyboarding skills and excellent accuracy.
