About the Role
The Front Desk Coordinator is often the first point of contact for patients and visitors, helping create a welcoming, organized, and professional experience from arrival through follow-up. This role supports patient check-in, phone coverage, office coordination, communication, and daily administrative workflows at our procedure center.
Key Responsibilities
- Greet patients, visitors, vendors, and team members in a warm and professional manner.
- Check in patients, verify demographics, confirm required paperwork, and support accurate patient registration.
- Answer incoming calls, route messages appropriately, and provide helpful information to callers.
- Assist with appointment reminders, follow-up outreach, and patient communication as directed.
- Coordinate transportation needs and communicate updates to the appropriate clinical or administrative team members.
- Maintain a clean, organized, and welcoming lobby, front desk area, and guest restroom presentation.
- Monitor front office supplies and notify the appropriate team member when items need to be ordered.
- Support patient service initiatives, office communication, and day-to-day administrative workflows.
- Maintain patient confidentiality and comply with HIPAA standards and VIS policies at all times.
Qualifications
- High school diploma or equivalent required.
- Customer-facing experience in a medical office, healthcare setting, or professional office environment preferred.
- Comfort answering multi-line phones, greeting visitors, and managing competing front desk priorities.
- Experience with scheduling, registration, or electronic medical record systems preferred.
- Strong communication skills, attention to detail, and a patient-centered approach.
- Ability to maintain professionalism, discretion, and confidentiality in a healthcare environment.

- The role may involve exposure to standard healthcare office conditions and requires adherence to infection control, privacy, and safety policies.
- Schedule is generally during regular business hours, with flexibility needed to support patient care schedules, clinic operations, and occasional changes in workflow.
- Regular, reliable attendance and punctuality are essential to support front desk coverage and patient service needs.
