Hiring: Front Desk Coordinator
Location: New York, NY (Midtown)
Shift: Monday–Friday, 7:00 AM– 5:00 PM
Pay: $22.00–$25.00/hour
Key Responsibilities:
- Manage all conference and event space booking, ensuring accuracy, communicating space availability, and building reservation confirmations with details provided.
- Communicate daily with clients via email to confirm meeting details and accommodate last-minute adjustments.
- Coordinate and communicate menus with clients in collaboration with the Food Service Manager.
- Maintain and update event details within the Event Management System (EMS), ensuring data accuracy and timely revisions.
- Communicate key event information to operational departments — including Front of House (FOH), Back of House (BOH), Audio-Visual team and Building Facilities teams— to ensure seamless execution.
- Conduct pre-event room checks to verify that all setups, catering, and AV requirements are completed according to specifications.
- Ensure Audio-Visual equipment is set up and functions in alignment with client standards and event needs.
- Oversee room setups, ensuring layouts and configurations meet event specifications.
- Finalize event details with clients and distribute comprehensive event summaries to all relevant departments.
- Provide business center support services such as printing, copying, and administrative assistance upon request.
- Run end-of-day reports to monitor event progress and departmental performance.
- Enter guest names into the security system and coordinate visitor access as needed.
- Perform additional administrative duties and special projects assigned.
Preferred Qualifications:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Minimum of two years of experience in event planning, hospitality, or a related administrative role.
- Strong proactive approach to anticipate client needs and adapt to changes in business or event requirements.
- Ability to stay informed about industry trends and share relevant information with the team to enhance service delivery.
- Exceptional customer service skills, with a focus on professionalism and responsiveness.
- Ability to maintain a calm and positive demeanor in a fast-paced, high-pressure environment.
