Overview
Ally Electric & Solar is seeking an organized, proactive, and detail-oriented Solar Project & Operations Coordinator to join our team in Richmond, California.
This position plays an important role in keeping residential solar, battery storage, EV charging, and electrical projects organized and moving forward. The coordinator will work with customers, management, field crews, designers, engineers, permitting departments, utilities, and vendors throughout the project process.
We are looking for someone who is comfortable managing multiple projects at different stages, communicates professionally with customers, follows through on outstanding items, and can keep accurate records and deadlines without needing constant reminders.
Experience in solar is preferred but not required. Candidates with relevant experience in electrical, roofing, HVAC, construction, permitting, or residential project coordination are encouraged to apply.
Duties
- Answer incoming calls and communicate professionally with new and existing customers
- Monitor company email and voicemail and respond to or route inquiries as appropriate
- Enter new leads and maintain accurate customer and project information in the company CRM
- Collect utility bills, energy usage information, site photos, electrical panel information, and other documentation needed for proposals and projects
- Follow up with customers for missing documents and information
- Coordinate site visits, customer appointments, and project schedules
- Assist with proposal preparation and track customer follow-ups
- Set up and maintain organized project files after contracts are signed
- Coordinate project information with customers, management, designers, engineers, vendors, and field crews
- Assist with permit applications and track permits through approval
- Track permit corrections and coordinate resubmissions with the appropriate team members
- Coordinate installation schedules with customers and field crews
- Verify that required documentation, approvals, and project information are in place prior to installation
- Schedule and track inspections, corrections, and re-inspections
- Track utility and interconnection applications through Permission to Operate (PTO)
- Keep customers informed about project status and upcoming steps
- Maintain accurate project stages, notes, deadlines, follow-up dates, and outstanding items in the CRM
- Proactively follow up on outstanding items and identify potential delays
- Maintain complete and organized project documentation through project closeout
- Assist with service and warranty requests as needed
- Support day-to-day office and project operations as needed
Requirements
- Previous experience in project coordination, construction administration, permitting, customer service, or a related role
- Experience in solar, electrical, roofing, HVAC, construction, or another residential trade is preferred
- Strong organizational and time-management skills
- Ability to manage multiple active projects, customers, and deadlines simultaneously
- Strong attention to detail and consistent follow-through
- Professional written and verbal communication skills
- Comfortable communicating with customers by phone and email
- Experience working with CRM, project-management, or construction-management software
- Proficiency with email, spreadsheets, and standard office software
- Ability to learn solar, battery, electrical, permitting, inspection, and utility processes
- Ability to work independently while following established company procedures and processes
- Good judgment and the ability to recognize when an issue requires management or technical review
- Ability to coordinate effectively with customers, office staff, field crews, vendors, designers, engineers, permitting departments, and utilities
- Reliable, accountable, and comfortable working in a fast-paced small-business environment
Compensation & Position Details
- $72,000–$85,000 per year, depending on experience and qualifications
